Requirements

Education

• Diploma in Business Studies in Supply Chain Management, Bachelor of Business Administration (BBA) in Supply Chain Management

• Professional certification (CIPS, KISM, or equivalent) is an added advantage.
• Proficiency in ERP systems (SAP, Oracle, QuickBooks, etc.) and MS office tools.
• Degree or Diploma in Procurement will get preference.

• University of Dhaka,Jahangirnagar University,Rajshahi University students will get preference

Experience

• 3 to 4 years
• The applicants should have experience in the following business area(s):
  Textile, Group of Companies, Dyeing Factory

Additional Requirements

• Age 28 to 35 years

• At least 3 years of relevant experience in an EPZ or manufacturing company.
• Proven knowledge of EPZ regulations, customs processes, and tax exemptions.
• Proficiency in ERP systems (SAP, Oracle, QuickBooks, etc.) and MS Office tools.
• Strong understanding of supply chain dynamics and procurement best practices.
• Negotiation and contract management skills.
• Analytical thinking and attention to detail.
• Ability to multitask and work under pressure.
• Strong ethics and confidentiality in handling sensitive data.
• Relationship-building with internal teams and external vendors.
• High level of integrity and accountability.

Responsibilities & Context

1. Procurement Planning and Execution:

• Collaborate with department heads to forecast procurement needs.
• Source quotations from local vendors in accordance with company and EPZ guidelines.
• Process Local Purchase Orders (LPOs) and obtain necessary internal approvals.
• Evaluate supplier quotations and make recommendations based on cost, quality, and delivery timelines.

2. EPZ & Regulatory Compliance:

• Ensure all purchases adhere to the Kenya EPZ Authority (EPZA) guidelines or applicable local EPZ regulations.
• Prepare and maintain documentation for local goods clearances and duty exemptions (if applicable).
• Liaise with customs officials and clearing agents to ensure timely release of goods, when required.

3. Supplier/Vendor Management:

• Identify, vet, and maintain an updated database of approved local suppliers.
• Negotiate favorable terms including bulk discounts, prompt delivery, and payment schedules.
• Conduct periodic supplier evaluations (performance, pricing, reliability).

4. Inventory and Coordination:

• Monitor stock levels in coordination with the stores/warehouse team.
• Avoid overstocking or stockouts by ensuring timely local procurement.
• Work closely with production and operations to meet urgent or unplanned needs.

5. Cost Control and Reporting:

• Monitor local purchase costs and contribute to budgeting and cost-saving initiatives.
• Maintain accurate records of expenditures, savings, and purchase justifications.
• Prepare weekly/monthly procurement reports for management review.

6. System & Document Management:

• Update procurement transactions into ERP or inventory management systems.
• Maintain physical and digital files of purchase records, contracts, and supplier documents.
• Ensure audit readiness by keeping well-organized and compliant procurement files.

7. Performance Indicators:

• On-time procurement and delivery rates.
• Cost savings achieved through local negotiations.
• Supplier performance and satisfaction ratings.
• Compliance with EPZ and internal procurement policies.
• Accuracy and timeliness of procurement documentation and reporting.
