Responsibilities & Context

  • Monitor, verify, and maintain employees’ daily attendance, absenteeism, leave records, shift schedules, and manpower information through Jibika Software, biometric attendance systems, and other HR management tools.
  • Prepare and verify daily attendance reports, absentee reports, manpower reports, leave records, salary sheets, overtime sheets, special attendance sheets, and other HR and administrative reports.
  • Conduct recruitment activities, including manpower requisition collection, job posting, application screening, interview coordination, appointment processing, employee onboarding, and orientation.
  • Process employee joining, posting, transfer, promotion, resignation, separation, and other employment-related activities while maintaining accurate records.
  • Ensure adequate departmental manpower availability and regularly report manpower shortages, excess manpower, and absenteeism issues to management.
  • Maintain and regularly update personal files, service records, employee databases, and all HR-related documentation of officers, staff, and workers.
  • Address employee grievances, concerns, and welfare-related matters, and communicate significant issues to management for necessary action.
  • Assist in implementing company HR policies, disciplinary procedures, and compliance with Bangladesh Labour Act, Labour Rules, and other applicable regulations.
  • Maintain and manage office files, registers, records, administrative documents, and other important company documentation in a systematic manner.
  • Prepare office orders, notices, administrative correspondence, reports, memorandums, certificates, and other official documents as required.
  • Assist in the renewal and maintenance of Trade License, Fire License, Factory License, Environmental Clearance Certificate, Boiler License, and other statutory licenses, permits, and approvals.
  • Supervise housekeeping activities and ensure cleanliness, discipline, and proper maintenance of factory premises, office buildings, dormitories, canteens, and other facilities.
  • Monitor dormitory management to ensure a clean, organized, and suitable living environment for employees.
  • Supervise security guards’ attendance, duty rosters, performance, and overall security operations within the factory premises.
  • Maintain vehicle logbooks and monitor the utilization, maintenance, servicing, fitness, tax token, and related documentation of company vehicles, including covered vans.
  • Coordinate and supervise drivers’ duties, schedules, performance, and compliance with company policies.
  • Monitor the proper use and maintenance of office equipment, furniture, administrative assets, and other company resources.
  • Support the maintenance of administrative discipline and effective coordination among departments to ensure smooth factory operations.
  • Prepare periodic HR and administrative reports and submit them to management as required.
  • Perform any other HR, administrative, and office management responsibilities assigned by the Senior Manager (Admin & HR), Factory In-Charge, or Management from time to time.
