Looking for person who currently work or volunteer in professional associations, chambers of commerce, or trade unions.

Responsibilities & Context

Specific Strengths:

Registry & Record-Keeping: Managing membership databases, meeting minutes, and official correspondence.

Event & Logistics Management: Coordinating board meetings, annual general meetings (AGMs), and webinars.

Compliance: Ensuring the association adheres to legal frameworks, internal bylaws, and renewal deadlines.

Software Proficiency: Expert command over accounting software like QuickBooks, Xero, or Tally.

Membership Dues Management: Tracking, invoicing, and reconciling annual subscription fees from members.

Audit & Tax Readiness: Preparing financial books for annual external audits and tax filings specific to non-profits/associations.

Office Management: Oversee the physical or virtual office environment, managing office supplies, vendor contracts (utilities, internet, IT support), and general upkeep.

Inbound/Outbound Correspondence: Manage the main info@ association email inbox, handle physical mail, and route inquiries to the appropriate board members.

Filing & Documentation: Establish and maintain an organized cloud-based filing system (e.g., Google Drive, SharePoint) for all legal, historical, and operational documents.

Database Management: Maintain and update the central membership registry (CRM), tracking member status, contact information, and renewal dates.

Onboarding & Support: Serve as the primary point of contact for members, handling inquiries, processing new member applications, and sending out welcome kits.

Retention Tracking: Monitor membership trends, send out renewal reminders, and follow up on lapsed memberships.
