Responsibilities & Context

  • Support HR Manager with job analysis, update all the job descriptions for all existing positions, and develop new job descriptions for new positions in the factory.
  • Establishing effective communication channels within the factory functions and departments to ensure that employees are well-informed about organizational changes, policies, and developments.
  • Maintain and update documents from time to time to comply with FSSC and ISO requirements.
  • Collaborate with the talent acquisition manager and factory department heads to determine current and future staffing requirements based on business objectives and growth plans.
  • Justify (against approved headcount) the manpower requisitions for non-management staff from concerned departments for replacement against current vacancies or for new positions.
  • Coordinate the end-to-end recruitment and selection process for non-management positions in the factory.
  • Conduct an onboarding program for factory parts for all new joiners.
  • Maintain the well-documented personal files of the factory employees.
  • Prepare exit interviews of all exiting employees, analyze the reasons, and address issues that are within the scope of factory management.
  • Prepare the payroll sheet, ensure all the attendance records, arrears and overtime payments, and authorized deductions are reflected in the payroll, and submit it to the HR Manager.
  • Prepare an annual compliance training plan for the factory.
  • Ensure and support the conduct of all training as per the training plan.
  • Ensure all the training programs are duly recorded, preserved, and ready to be audited.
  • Identify and assess potential factory operational risks and resolve them as per the mitigation plan.
  • Support the HR Manager to evaluate existing HR policies and procedures, identify non-compliance or potential for non-compliance with labor laws, and roll out a roadmap to bridge the compliance gap.
  • Facilitate inspection of factory premises and/or documents by the labor inspector and liaise with the local labor office to remain updated about compliance requirements.
  • Ensure a time-to-time update of the legal required documents for various government authorities like DIFE, the Environmental Department, the Fire Service, and other related legal enforcement authorities.
  • Assist the HR Manager with obtaining or renewal of all mandatory regulatory licenses and certificates.
  • Host occasional events on the factory premises to engage all levels of employees.
  • Investigate all disciplinary incidents that happen on the factory premises and escalate to a formal disciplinary process when required.
  • Ensure overall safety and security of the people, machineries, equipment and facilities inside the factory premises
  • Supervise the activities and manage the facilities like general cleanliness, laundry service, gardening & beautification, dormitory, rest house, pest control, housekeeping, furniture and fixtures, vehicle parking, canteen management, safe drinking water etc.
  • Maintain strong relationship with all relevant local govt offices, law enforcement agencies, regulatory bodies, influential community leaders etc
