- Minimum 3 years working experience in IMS, especially on large scale data management. Working experience in humanitarian sector is preferred;
- Previous experience working in IMS in the area of Case Management, Psychosocial counselling, Child Protection, as well as in Community Based activities, youth engagement, advocacy and Psychosocial Support service provision;
- Demonstrated understanding of information management principles, tools and systems;
- Team player, flexible, network-builder, able to handle pressure well and work in cross-cultural setting;
- Good computer skills such as: MS Word, Excel, PowerPoint;
- Fluency in Chittagong and Bangla required. Proficiency in English is desirable;
- Experience in the field of Child Protection;
- Excellent spoken and written in English;
- Report writing skills, skills in documenting;
- Ability to provide need base training;
- Ability to undertake frequent field visits.
Responsibilities & Context
Job Context:
Gana Unnayan Kendra (GUK) is looking for a suitable candidate for the position of ‘Database/MIS Officer’ for International Rescue Committee (IRC) supported ‘Enhancing the well-being of refugees and the underprivileged host communities in Cox’s Bazar through inclusive and complementary protection, health, education and advocacy interventions’ project at Rohingya refugee camps in Cox’s Bazar. The project duration is June 01, 2024 to February 28, 2025. Database/MIS Officer will assist in the setting up and implementation of the information management system as part of case management responses for children vulnerable to abuse, exploitation, neglect and violence (including unaccompanied and separated children). S/he will ensure all information collected from the field sites as part of case management responses for children harmed or at risk of being harmed are safely and accurately filed and stored. S/he will support caseworkers in managing their caseload by extracting individual caseload information and ensure that all data protection protocols are observed while managing information collected. S/he will uphold the GUK Child Safeguarding Policy and the Prevention of Sexual of Sexual Exploitation and Abuse within the work place and communities of intervention.
Job Responsibilities:
- Technical Quality:
- Ensure data of all cases registered under case management are correctly entered into the CPIMS Data Base;
- Manage the use, maintenance and technical support of databases (child protection information management- CPIMS) used in the operation including planning and overseeing data collection, input and verifications; production of standard and ad hoc reports.
- Supervise the coding for all cases registered in the various field sites.
- Facilitate and /or undertake additional data collection activities including planning and coordinating data collection methodologies and analysis with relevant staff of other offices.
- Responsible for ensuring data protection for all CP data.
- Archive and backup database systems; ensure security of databases; perform database administrator functions.
- Analyze and respond to report requests from MEAL, MIS, partners and donors.
- Provide training, as necessary, to other staff members and IPs in relevant aspects of data management.
- Compile all CP data for report writing.
- Monitor and report trends in case management to CP Manager on a monthly basis.
- Compile the monthly inter-agency 5Ws/4Ws and share with the relevant organization.
- Work with the CPIMS assistants to produce data and information tracking tools.
- Easily understand different software intended for CPMIS Work closely with the IRC’s MEAL team and represent the CP team where necessary.
- Ensure regular communication with the supervior for updates on achievements and challenges.
Coordination & Representation:
- Effectively communicate with caseworkers, CP assistants, Officers, Managers, Sr. Managers, Coordinators, MEAL officers to provide necessary information concerning reporting.
- Regularly attend case management and information management meetings at field level.
- Attend the inter-agency CPIMS monthly meetings.
Grant Monitoring & Reporting:
- Provide input for weekly and staff activity reports.
- Monitor and report trends in case management to CP Manager on a monthly basis.
- Assist in compiling and calculating statistics, population figures, indicators, and other standard, annual, periodic and special statistical reports.
- Contribute to the development of proposal activities in relation to information management.
Monitoring Responsibilities:
- Ensure accuracy, completion / thoroughness, and confidentiality of case management data entry and data management.
- Keeping records of cases and compiling into a weekly report for supervisor.
- Data checking for validity from the data source and compile proper record sheet.
- Ensure regular feedback session with community members at the field level.
- Collect success story from the beneficiary or stakeholder.
Other Duties:
- Consistently and proactively monitor/assess the safety and security of field teams; promptly reporting concerns or incidents to IRC management and liaising with community leaders and other external parties as required to maintain/enhance the security environment for IRC programs
- Other duties as assigned by the supervisor to enable and develop IRC programs.
