  • Proficiency in document management software and MS Office Suite.

Responsibilities & Context

The Document Management Officer will be responsible for managing all project documentation, ensuring that it is accurate, up-to-date, and readily accessible to the project team and stakeholders. This role is critical in maintaining the integrity and confidentiality of project documents, supporting smooth project execution, and compliance with organizational and regulatory standards –

  • Develop and implement document control procedures for the project.
  • Ensure all project documentation is correctly labeled, categorized, and stored.
  • Maintain a master list of all project documents, including revisions and distribution records.
  • Assist in the preparation, review, and editing of project documents.
  • Ensure that all documents meet organizational standards and comply with regulatory requirements.
  • Coordinate with project team members to gather necessary documentation and approvals.
  • Manage the distribution of documents to relevant stakeholders.
  • Ensure timely and secure distribution of documents to team members, contractors, and clients.
  • Track document distribution and ensure that all recipients have the latest versions.
  • Establish and maintain an efficient document archiving system.
  • Ensure that all completed project documents are archived properly for future reference.
  • Manage the retrieval of documents as needed by project team members and stakeholders.
  • Ensure compliance with organizational and regulatory document management policies.
  • Prepare for and support internal and external audits of project documentation.
  • Address and resolve any documentation issues identified during audits.
  • Train project team members on document management procedures and tools.
  • Provide ongoing support to ensure effective use of document management systems.
  • Troubleshoot any document-related issues and provide solutions.
  • Identify and implement improvements to document management processes.
  • Stay up-to-date with best practices and new technologies in document management.
  • Recommend and implement enhancements to document control systems.
