Responsibilities & Context

Oversee the Procurement & Logistics Team and Services:

  • Make strategic plans for supervision and management of all the field and area office activities of the Procurement & Logistics Team.
  • Ensure inter-departmental coordination for efficient support of the Procurement & Logistics staff/Team to the Area Program and every Department of the Country Office.
  • Supervise other supports such as timely procurements, vehicle management, and maintenance, etc.
  • Actively participate in the preparation of the yearly budget and management of the budget.

Procurement Management:

  • Ensure compliance with all related FH Policies and standards including the Conflict-of-Interest Policy and No-Gift Policy throughout all processes of procurement.
  • Support the establishment of a clear procurement plan ensuring that requests are managed effectively; ensuring sufficient time is provided to complete all necessary processes.
  • Check that all procurement requests are completed correctly and promptly.
  • Build and strengthen professional relationships between vendors and FH, mentoring vendors about FH policies and values to ensure the provision of the best service.
  • Enlist capable vendors as per FH requirements and policy. Ensure that all procurements and vendors are registered through the Odoo (ERP) system.
  • Vendor Assessment, conduct price checks on all procurements conducted, and negotiate strong value for money.
  • Support the procurement committee and team members to address suppliers’ queries.
  • Provide comprehensive support for contract management and negotiation processes for country and Area programs.
  • Support Area Programs in ensuring a seamless procurement process following FH’s global Procurement Policy.
  • Ensure that all procurements and vendors are registered through the Odoo (ERP) system.
  • Archive all procurement documents both physically and electronically to maintain an organized record.
  • Ensure timely payment and cheque clearance to the vendors.
  • Manage a vendor performance tracker, encompassing Area Programs, to monitor their efficiency and enhance overall performance.

Logistics Support & Inventory Management:

  • Manage fleet and transportation schedule.
  • Coordinate the duty roaster and delegate to drivers the daily, weekly, and need-based task plans.
  • Initiate repairing and servicing of the vehicles, renewal of licenses and documents, and maintain the logbook, etc.
  • Ensure meticulous tracking of all types of purchase requisitions.
  • Ensure that proper acceptable standard warehousing/ storage techniques are used in handling organizational commodities.
  • Provide active support to Area Program Admin & Procurement Assistants.
  • Responsible for documentation of daily work and file management.

  • Undertake any other relevant duties as directed by the supervisor.
