Responsibilities & Context

Under the general guidance of Corporate office and within the limit of the company’s policies, procedures and practice the purpose of the position is to establish and implement effective administration, human resource and compliance management system consistent with relevant national/ international laws and buyers’ code of conduct. The job holder is fully responsible for keeping the factory smoothly functional, always compliant and profitable maintaining effective liaison with concern stakeholders and statutory bodies.

  • Determine the objectives and identify key activities for factory administration.
  • Forecast future planning, build team, motivate and improve team spirit through proper communication, advice, guidance and training.
  • Supervise and monitor the day to day activates of the employees and take feedback from employees and workers to initiate necessary actions for further development.
  • Ensure efficient production methods to ensure required quality of product at every stage of each section in accordance with approved directions of buyers as well as written instructions given from CHO.
  • Execute all the activities of the factory in efficient manner to provide necessary raw materials (fabrics, trims & accessories) at the right time with right quality and right price in order to maintain uninterrupted production flow.
  • Lead the team to the right directions and provide effective work instructions to ensure proper utilization of resources for achieving set objectives of the factory.
  • Prepare appropriate human resource planning and make sure that right number of employees with right quality have been employed through effective recruitment and selection process as approved by CHO.
  • Ensure that right number of staff and workers have been selected based on the actual requirement and been provided with job description.
  • Review and update or formulate different policies and procedure relevant to administration and human resource management and ensure its proper implementation.
  • Ensure proper recruitment and selection process according to approved policy and procedure of the company and keep it under keen observation and control.
  • Conduct performance appraisal of factory staff effectively and timely as per performance appraisal policy of the company.
  • Ensure justice, fairness and timely initiative to resolve any grievance and complaint of the employee or worker and keep evidence and records.
  • Remain self-aware and keep others aware regarding company’s Code of Conduct, Zero Tolerance Policy and expectation of the management and the consequence of violation these code of conduct and Zero tolerance policy.
  • Ensure that all the compliance issues are properly implemented in the day to day factory operations according to legal requirement, like-fire safety, potable water, toilet, cleanliness, exit door while fire etc.
  • Make sure the timely shipment of products with right quality as required by the buyers after final inspection. Ensure that all the stores (Local and Central) activities, like- receiving goods, checking challan, tangible materials, maintaining stock registers etc. are being done and maintained properly.
  • Establish the charge hand over and take over guidelines at factory level to ensure liability and accountability of concern personnel and not arising any problem or discrepancy during staff transfer or separation.
  • Take disciplinary measures as and when required following the guidelines depicted in labor laws and keep necessary evidence and records or documentation as ready reference for inspection.
  • Collect information about workers/staffs on any adverse attitude, morale, behavior, grievances, disputes on disagreement and adoption of SOP and coordinate actions.
  • Coordinate employee counseling and motivation program in regards to absenteeism, turn over, general rules & regulations of the factory, employment terms & conditions, work place code of conduct and productivity improvement.
  • Monitor that all HR related data, records, reports, formats, statement, rank & files, Books & Registers are properly prepared, issued, up-dated & maintained as per company’s HR policies and procedures.
  • Monthly analysis and comparison of factory operating cost, cost per worker and cost per machine, rate of absenteeism, migration and turnover of workers and feedback accordingly.
  • Identify pilferage, security lapses and any other irregularities in the assigned factories and report /coordinate actions.
  • Oversee the activities of production management, quality control management and other support services to maintain proper coordination.
  • Identify internal and external threats and challenges for the business and take preventive measures efficiently.
  • Make sure that internal audit is done properly in a specific interval and take corrective measures based on the findings of audit report.
  • Make factory always compliant and ready for facing any external audit and provide active cooperation to External auditors or buyers representatives in conducting their audit or visit.
  • Ensure that overall safety and security systems standards (building safety, electrical safety, fire safety chemical safety, machine safety) are functioning well.

  • The incumbent will also be responsible to execute any additional responsibility relevant to his job given by the superior authority for the interested of the organization and as and when necessary.
