  • Work experience in NGO Sector.
  • TALLY ERP-9 accounting software generated experience.
  • Age at most 45 years (Age may be considered for experienced candidate).

Responsibilities & Context

Job Context:

Dhaka Ahsania Mission (DAM) is a non-government development organization founded in 1958 by Khan Bahadur Ahsanullah, an eminent educationist, reformer, and Sufi with the aim of social and spiritual development of the entire human community. DAM has been contributing to the betterment of the disadvantaged population through operating 35 institutions and also 8 sectors of development. The Health and WASH Sector is one of the core sectors of DAM which has also been operating 8 institutions and 17 projects.

DAM Health & WASH Sector is going to recruit a competent and self-motivated individual for the position of Accounts and Admin Officer of the WASH Sector. It’s a Dhaka-based position that will act as the key person of finance operations.

  • Maintain all financial transactions and check all bill vouchers;
  • Maintain all the books of accounts;
  • Maintain all kinds of registers which are related to finance and admin;
  • Prepare salary sheet and bank advice timely ;
  • Prepare Financial Reports for donors and organizations along with all types of schedules and Bank Reconciliation on a monthly basis;
  • Record vendor’s payments;
  • Reporting and posting the expenditure in the appropriate budget head;
  • Ensure VAT/Tax deduction and deposit to bank, timely update VAT/ Tax schedule;
  • Close communication with the bank;
  • Provide necessary assistance to external/internal audit, and donor finance teams during their visit to the project office ;
  • Support to the project team for Procurement planning and budgeting;
  • Ensure all accounting and financial activities as per organization and donor policy, rules and regulations;
  • Prepare Vouchers and ensure that all documents are valid and authorized;
  • Vouchers are reviewed and sequentially preserved;
  • Keeping records of all important documents and communication by scanning and filing Voucher posting using Tally software (ERP-9);
  • Administrative and Logistics Support Providing administrative support to the project team;
  • This also includes organizing logistics for projects, travel arrangements, meetings, conferences and other special events; Checking asset inventory on a half-yearly basis at the sector office and submitting it to the respective persons Preparing meeting minutes and circulating the same to all meeting participants;
  • Organizing the logistics for meetings with donors, project staff, and others;
  • To be responsible for preserving the training materials/BCC materials available in the sector;
  • Supervising the activities of office helper on a day-to-day basis and extending support as and when necessary;
  • Preparing note sheets as per the need of the sector and sending the same to the concerned department/Staff for follow-up purposes;
  • Documents Scanning & emailing concerned persons of project offices for smooth running activities of projects HR Support; Processing all leave applications of the sector;
  • Processing and getting approval including maintaining the leave record, both for sector office as well as project offices;
  • Keeping a record of staff personal files, staff MIS & database of Dashboard updates Perform all Human Resource related admin tasks;
  • Recruitment process such as circulars, CV shortlisting, calling for interviews, interview board arrangement, reference checking, getting approval, helping in joining process & staff orientation, and release;
  • Draft Correspondence letters, office orders & circulars Maintaining confidentiality of organizational information and documents strictly and sincerely;
  • To do any other task or assignment which is assigned by higher management.
