Responsibilities & Context

Administrative Support

  • Documentation and Record Keeping: Manage and maintain records, including export documents, contracts, invoices, and correspondence.
  • Scheduling: Coordinate and schedule meetings, appointments, and travel arrangements for senior management.
  • Office Supplies Management: Ensure the availability of office supplies and equipment, managing inventory and procurement as needed.

    Operational Coordination

  • Order Processing: Assist in the processing of export orders, coordinating with the production and logistics teams to ensure timely delivery.
  • Shipment Coordination: Work with logistics providers to arrange the shipment of goods, ensuring compliance with international shipping regulations.
  • Quality Control Assistance: Collaborate with the quality control team to ensure that products meet the required standards before shipment.

    Communication and Liaison

  •  Client Interaction: Act as a point of contact for international clients, handling inquiries and providing updates on order status.
  • Vendor Communication: Coordinate with suppliers and service providers for materials, ensuring that the production schedule is not disrupted.
  • Government Liaison: Handle communication with government agencies regarding export regulations, customs documentation, and compliance requirements. Human Resources Support·
  • Onboarding Coordination: Assist in the onboarding of new employees, including arranging training sessions and ensuring proper documentation.
  • Employee Records Management: Maintain employee records, including attendance, leave, and other HR-related documentation.
  • Event Coordination: Organize company events, meetings, and training sessions.

    Compliance and Reporting

  • Regulatory Compliance: Ensure compliance with export regulations, including documentation and certifications required for international trade.
  • Reporting: Prepare and submit reports related to office operations, export activities, and other key metrics as required by management.

    Problem-Solving and Crisis Management

  • Issue Resolution: Address any issues or challenges that arise in the office or during the export process, coordinating with relevant teams to find solutions.
  • Crisis Management: Act quickly to manage any disruptions in office operations, production, or export logistics, ensuring minimal impact on business.
