Required Education and Experience:

  • At least 3-5 years of experience in office administration, logistics, or a similar role. Experience in managing procurement and asset management is essential. Educational qualification is flexible for highly experienced candidates.

  • Proficiency in office administration, HR, logistics policies, procurement, and asset management. Basic understanding of safety and security measures is required.
  • Excellent organizational and communication skills.
  • Proficient in MS Word, MS Excel, and MS PowerPoint.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong problem-solving and decision-making skills. 

Contacts and Key Relationships:

  • The ALO will report directly to the Project Coordinator and will work closely with the field teams, organizational project management, and the Concern Worldwide team.
  • Regular interaction with the organizational operations, HR and Admin departments or focal points.

Responsibilities & Context

AVAS is implementing the “Partnerships for Improved Reproductive, Maternal, Neonatal, Child, and Adolescent Health (RMNCAH) in Coastal Bangladesh” project, funded by Margaret A. Cargill Philanthropies (MACP) and supported by Concern Worldwide. This initiative aims to improve RMNCAH services in the coastal regions of Bangladesh, particularly in Galachipa sub-district, Patuakhali district. The project duration is up to December 2026.  AVAS is seeking a highly competent and motivated Admin and Logistics Officer (ALO) to facilitate the project’s administrative arrangements and management. The ALO will support the field team in administrative functions and work closely with the Project Coordinator to ensure that all activities align with the project’s objectives and goals.

The ALO will oversee office administration, recruitment, safety, security, storage, and logistics operations for the project in respective area. This role is crucial for ensuring effective office management. 

Key Responsibilities:

1.     Administrative Management

  • Plan and implement administrative processes and management procedures.

  • Provide administrative support to the program team.

  • Monitor attendance, movement registers, and report to management.

  • Develop administrative procedures for personnel files, project plans, and program interventions.

  • Conduct safety and security orientation and ensure regular office safety measures.

  • Oversee office and equipment maintenance and repair.

  • Support staff duties and monitor performance.

  • Ensure a gender-friendly and child-safe office environment. 

2.     Recruitment and Procurement

  • Prepare recruitment requests and support recruitment planning.

  • Assist HR and the recruitment committee in the recruitment process.

  • Facilitate purchase requests from program staff and support the purchase committee.

  • Verify the quality of goods and services, prepare challans and Goods Receipt Notes (GRNs).

  • Maintain store safety and security. 

3.     Logistics Management

  • Keep inventory, fixed asset registers, and leave registers updated.

  • Maintain equipment such as cycles, computers, laptops, and photocopiers.

  • Ensure secure and safe storage of stock and office materials.

  • Update logbooks and manage fuel support. 

4.     Reporting

  • Prepare monthly and quarterly stock and warehouse reports.

  • Conduct regular logbook checks and report findings to management.

  • Prepare physical verification reports in line with organizational policy. 

5.     Other Activities

  • Coordinate with field and management staff.

  • Provide support to field staff, especially female staff.

  • Perform additional tasks as assigned by the supervisor.

  • Keep senior management informed with detailed and accurate reports.

  • Ensure logistical support during emergency periods.
