Project Overview: The Feed the Future Bangladesh Inclusive Access to Finance Activity (IAF) is a $34 million, USAID-supported project that will unlock finance for small businesses and farmers, make agricultural supply chains more inclusive and sustainable, and improve inclusivity in the financial sector in Bangladesh. To accomplish this, IAF will engage strategic partners to deploy innovative solutions to address constraints in agriculture value chains and agriculture financing; deploy incentives and capacity building to financial institutions to expand appropriate and inclusive lending to or investment in agriculture; and engage the private sector to advocate for systemic improvements and scale social impact. From 2024 to 2029, The Bangladesh Inclusive Access to Finance Activity will unlock $448 million in finance, driving sustainable agricultural lending and promoting inclusive growth. By improving access to finance for farmers and micro-, small-, and medium-sized enterprises (MSMEs), and the policy environment in the financial sector, IAF with increase farmer revenue, create jobs, and contribute to Bangladesh’s economic growth in an inclusive and environmentally friendly manner.

The Office Aide will be responsible for providing support in the various project administrative functions and providing necessary support to manage field office maintenance related tasks.

Roles and Responsibilities:

  • Open and close the office each day at a specific scheduled time
  • Perform cleaning functions as required including washing, sweeping, and dusting
  • Ensure the office premises are garbage and dust free
  • Clean and tidy of office, washroom, kitchen, and tea area
  • Ensure stock of consumable goods are maintained
  • Keep record/ track supply and stationery items and provide requisition support
  • Send and receive office courier item
  • Sit at receptionist desk, answer phone and receive visitors (occasionally)
  • Manning of the telephone switchboard to provide and/or oversee telephone and fax communication for all staff
  • Receive clients and visitors, assist and resolve problems and inquiries of visitors
  • Help office staff in using office equipment such as printers and photocopies
  • Ensure that the materials, invoice, and documents are received, and their delivery is properly documented
  • Support document filing and archiving
  • Ensure office utility (water, electricity bill, telephone bill, and others) bills are received, provided to the finance unit, and submitted to the bank
  • Assist in repair and maintenance of office or office equipment
  • Support inventory management of the office assets and asset register under the supervision of the Director of Finance and Administration and Senior Manager HR and Administration
  • Support procurement under the supervision of the Senior Manager, HR and Administration
  • Assist in planning and coordinating regional and international travel for project staff and consultants
  • Assist in the execution of project training events and seminars
  • Support IAF personnel in their day-to-day duties Any other tasks as requested by the Senior Manager, HR and Administration, COP, or other designated staff

Position Requirements:

  • Minimum completion of Higher Secondary School Certificate (HSC) or equivalent is required
  • At least 3-4 years of experience of working in a similar position
  • Prior experience in working with a USAID-funded project preferred
  • Experience and knowledge in administration in Bangladesh
  • Able to work independently, leveraging support from relevant team members
  • Proficiency in MS word and Excel will add value
  • Strong verbal communication skills in English
  • Attention to detail and ability to effectively and efficiently perform multiple tasks and balance competing priorities
  • Professional and mature demeanor and conduct
  • Local nationals preferred
