Responsibilities & Context
- Help the Coordinator-Grants and Finance to Developing budgets that are reasonable, effective and adequately covering the costs of implementing a project.
- Attending and participating in donor meetings as required.
- Responding to donor and other stakeholders’ requests and concerns accurately and on time.
- Addressing queries relating to your projects in accurate detail and on time.
- Collaborate with Safety & Security and Government Relations Coordinator to organizational Initiatives related to government relations tasks.
- Assist in drafting correspondence, and background materials for government relations team and executives to engage with government officials and agencies.
- Facilitate seamless coordination within teams and departments, as well as with the National office, to ensure efficient execution of government-related tasks.
- Proactively maintain accurate and organized documentation, using a systematic approach, to ensure easy access and retrieval of information.
- Provide support during budget proposal development and extensions/amendments in line with donor rules & regulations and WV budgeting policies.
- Support Grants and finance team to accurate & timely submission of budget revisions/amendments to donors and other stakeholders.
- Ensure budget posting & alignment in SUN System, ProVision review and all the other relevant WVB systems in the appropriate account codes.
- Continuous monitoring, follow up and reconciliation on project/grants funding receipts versus commitments with donors and respective WV partnerships.
- Ensure accurate charging codes are provided to all stakeholders at all times.
- Follow up & ensure all project adjustment journals are posted on time to the respective projects.
- Ensure Grants Financial reports tally to expenses posted in Sun System at all times.
- Monthly variance explanation & spending within the approved limits and flexibility as outlined in the signed agreements.
- Support non finance staff in understanding and interpreting of financial templates, financial reports and any other donor compliance matters.
- Ensure 100% monthly compliance with Labor distribution reports/time sheets policy.
- Adhering to donor, government and WV partnership timelines.
- Ensure timely and smooth project expenditure verification process, external audits, spot checks etc.
- No occurrence of fraud or misappropriation of funds: Technical back stopping of payments.
- Zero questioned costs in any of the audits, verifications or spot checks.
