Responsibilities & Context

  • Ensure the workplace adheres to all ethical and safety standards.
  • Collaborate with the finance department to manage budgets related to administrative functions.
  • Ensure cost-effective operations, negotiate with vendors for services like maintenance, supplies, etc.
  • Analyze financial reports and implement cost-saving measures where necessary.
  • Facilitate communication and coordination between departments, ensuring efficient workflow and task management.
  • Monitor project deadlines and ensure administrative support for the production, sales, and logistics teams.
  • Handle customer relations and resolve any administrative issues that may affect production or client satisfaction.
  • Oversee the maintenance and development of administrative office equipment.
  • Implement technology solutions to improve administrative efficiency.
  • Address any administrative or operational crises promptly and efficiently.
  • Ensure the continuity of business during emergencies or challenges.
  • Prepare and present periodic reports to upper management on operational and administrative performance.
  • Manage relationships with external vendors, including negotiating contracts and ensuring the quality of services provided.
  • Oversee service agreements for maintenance, security, transportation, and supplies.
  • Develop and implement administrative policies and procedures.
  • Align administrative operations with the overall goals of the organization.
  • Assist in strategic decision-making related to business operations and resource allocation.
  • Monitor key performance indicators (KPIs) and ensure adherence to company objectives.
  • Ensure efficient office operations, such as facility management, office supplies, and general support services.
  • Resolve conflicts or disciplinary issues and promote a healthy work environment.
  • Supervise staff, assign tasks, and ensure that all administrative personnel are meeting their responsibilities.
  • Conduct performance appraisals and identify areas for employee development.
  • Ensure compliance with local laws, regulations, and industry standards related to labor laws, safety, and environmental regulations.
  • Handle legal matters in coordination with the legal team, including contracts, labor disputes, and government inspections.
