  • Master’s degree in Information Management, Business Administration, or a related field
  • After completing a Master’s degree, an MPH degree will get a preference

  • Experience with content management systems (CMS), document management tools, and collaboration platforms.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and document management software.
  • Ability to work independently and as part of a team.
  •  Excellent writing and editing skills with attention to detail.
  • Analytical and problem-solving skills.
  • Familiarity with knowledge management frameworks, best practices, and tools.

Responsibilities & Context

Job Purpose:

The Knowledge Management & Documentation Officer is responsible for establishing, maintaining, and improving systems for capturing, organizing, and sharing organizational knowledge. This role involves creating and managing documentation, designing knowledge management strategies, ensuring knowledge accessibility, and fostering a culture of collaboration and learning within the organization. The officer ensures that all knowledge and documentation are accessible, up-to-date, and systematically structured to support decision-making, collaboration, and continuous learning within the organization.

Key Responsibilities:

Knowledge Management System:

  • Develop, implement, and maintain knowledge management systems (KMS) to store, organize, and share information across the organization.
  • Ensure that knowledge management tools and platforms are user-friendly, accessible, and align with organizational needs.
  • Maintain and continuously improve a centralized knowledge management system

Documentation & Content Management:

  • Oversee the creation, storage, and sharing of organizational documentation, including policies, procedures, manuals, reports, and best practices
  • Develop templates, guides, and standards for documentation to ensure consistency and clarity.
  • Ensure that all documents are properly archived and easy to retrieve by authorized users.·
  • Standardize documentation processes to ensure consistency and accuracy across the organization.·
  • Organize and categorize documents, ensuring easy access and retrieval for donors.

Collaboration & Knowledge Sharing:

  • Foster a culture of knowledge sharing and collaboration across teams and departments.·
  • Organize and facilitate knowledge-sharing sessions, workshops, and webinars.·
  • Develop mechanisms for encouraging employees to contribute and share knowledge and best practices.·
  • Promote a culture of knowledge-sharing by organizing knowledge-sharing sessions, workshops, and collaborative meetings.·
  • Facilitate cross-departmental knowledge transfer and collaboration on key initiatives.

Training & Support:

  • Provide training and guidance to staff on how to use knowledge management systems and tools.·
  • Offer support to staff in developing and organizing their own documentation.·
  • Train employees on the use of the knowledge management system, tools, and best practices for documentation.·
  • Provide ongoing support to staff to ensure effective use of knowledge management systems.·
  • Develop training materials and documentation to improve knowledge management capabilities within the organization.

Quality Control & Improvement:

  • Regularly review and assess the quality and relevance of the organization’s knowledge and documentation.·
  • Ensure that outdated or irrelevant information is updated or removed, maintaining the accuracy of the knowledge base.·
  • Implement continuous improvement processes to enhance the knowledge management system

Reporting & Evaluation:

  • Track the effectiveness and usage of knowledge management systems and tools.·
  • Prepare reports on key knowledge management metrics, such as the number of documents uploaded, usage frequency, and knowledge-sharing activity.·
  • Evaluate user feedback to improve knowledge management strategies.·
  • Monitor the quality and relevance of the information stored within the knowledge management system·
  • Generate reports on knowledge management activities, including system usage, document access, and knowledge-sharing initiatives.

Special Note:        ·

  • Carry out any additional assignment per her/his position entrusted with the GK Management from time to time and mutually agreed upon.
  • Management may, at any point in time, modify this job description as it is deemed necessary in Gonoshasthaya Kendra’s interests in consultation with the incumbent and funding agencies.
  • Due to the emergency response nature of GK’s work, hours of work may vary, and employees should be flexible in approaching hours of work in emergency conditions.
  • The employee must respect the timetable, terms, and conditions of Gonoshasthaya Kendra and should always be available to respond to an emergency.
