Responsibilities & Context

The job holder will work as a team member under the direct supervision of the Logistics Manager and support Logistics functions in the areas of Procurement, IT support, Asset, Inventory Management distribution Accommodation Reservation, and Logistics Reporting.

The post holder is expected to embody the highest level of professionalism, demonstrating values and behaviors that reflect politeness, respect, honesty, punctuality (adherence to deadlines), and creativity in all tasks and interactions.

Specific Job Responsibilities:

A. Procurement

i. Preparation of Procurement Request (PR), Request for Quotation (RFQ), Comparative Bid Analysis (CBA), Purchase Order (PO), Receiving Note (RN), Service Received Note, and Payment and Working Advance Request (PWAR).

ii. Receiving of incoming goods and acknowledgment in the Challan copy.

iii. Effective communication and follow-up with suppliers for on-time delivery of goods/services.

iv. Maintain the supplier database.

v. Ensure procurement compliance according to Tdh procurement guidelines.

vi. Prepare PWAR based on the vendor’s invoice/bills for the final submission to finance.

vii. Verify the consignment is well-arrived at the final destination and collect the documentation to settle the payment accordingly.

viii. Prepare and submit all invoice requests, including monthly office rent, utilities, advance requests, and adjustments.

B. Asset/Equipment Inventory and Reporting

i. Responsible for monthly reporting of PR tracker and contract follow-up.

ii. Prepare an asset report for Dhaka and compile the report from Kurigram along with the Dhaka report.

iii. Prepare fuel follow-up and report to the Logistics Coordinator every month.

iv. Prepare equipment responsibility sheets for the Dhaka staff and keep them updated.

v. Generate asset or equipment IDs for newly purchased products, tag IDs, and maintain the documents.

vi. Prepare the stock report and share it with the Logistics Coordinator.

vii. Accept other responsibilities as assigned by the Line Manager.

C. Warehouse, Distribution, and Inventory Management

i. Oversee the day-to-day operations of the warehouse, ensuring the proper receipt, storage, and dispatch of goods.

ii. Maintain accurate and up-to-date stock records using appropriate inventory management systems.

iii. Conduct regular physical stock checks to reconcile with system records and identify any discrepancies.

iv. Ensure proper labeling and categorization of inventory items for easy identification and retrieval.

v. Monitor stock levels and coordinate with procurement to replenish inventory as needed.

vi. Ensure safe and secure storage of items, adhering to Tdh’s safety and storage guidelines.

vii. Manage the proper handling of goods during loading/unloading to minimize damage or loss.

viii. Prepare and submit regular inventory and warehouse utilization reports to the Logistics Coordinator.

ix. Ensure the warehouse environment is clean, organized, and compliant with health and safety standards.

x. Accept additional warehouse-related tasks assigned by the Line Manager.

D. Hotel Reservation Management

i. Coordinate with hotels to arrange reservations for staff, consultants, and visitors as per the organization’s guidelines.

ii. Negotiate competitive rates and ensure compliance with budgetary constraints.

iii. Confirm bookings and share reservation details with travelers on time.

iv. Handle any changes, cancellations, or disputes related to hotel reservations efficiently.

v. Collect and process hotel invoices for payment and ensure timely submission to finance.

E. Fleet Management

i. Oversee the management of organizational vehicles, ensuring their availability and proper utilization.

ii. Maintain vehicle logs, fuel consumption records, and service/maintenance schedules.

iii. Ensure timely servicing and maintenance of vehicles to avoid breakdowns.

iv. Monitor and control fuel usage, verifying receipts and reports for accuracy.

v. Ensure that vehicles are insured, roadworthy, and compliant with legal requirements.

vi. Assign vehicles to staff or activities based on operational needs and priorities.

vii. Coordinate driver schedules and ensure compliance with safety and driving protocols.

viii. Prepare and submit fleet utilization and fuel consumption reports to the Logistics Manager.

ix. Handle any fleet-related incidents, such as accidents or mechanical failures, and report them promptly.
