Responsibilities & Context

  • Prepare daily Vehicle Route Plan;
  • Monitor vehicles movement according to selected route and follow up;
  • Oversee all company vehicles and driver management;
  • Coordinate with all departments to determine requirements & schedule transport to meet them;
  • Analyze monthly vehicle and operational costs;
  • Keep documents current such as registration, insurance, vehicle logs, daily inspection reports, etc.;
  • Verify and process transport bills for management approval;
  • Install and maintain the Vehicle Management System (VMS); ensure that data input is regular and required reports are produced;
  • Repair & Maintenance of all vehicles and submit weekly report to Management;
  • Schedule meetings and appointments;
  • Organize the office layout and order stationery and equipment;
  • Maintain accurate records of employee attendance, leave balances, and time-off requests;
  • Oversee office administration and maintenance tasks, ensuring a clean, organized, and functional workspace;
  • To maintain the employee’s Personal file with all related papers as up-dated;
  • To maintain & update all sorts of leave;
  • To check entertain bill, monthly conveyance bill of employees etc.;
  • Follow up office utility uses and check and process all utility bill;
  • Collect quotation from various vendor and follow-up local purchase;
  • Process vendor bills promptly for payment;
  • Time to Time report to the Management.
