Responsibilities & Context

We are seeking a diligent and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting our operations, specifically focusing on inventory management and financial reconciliation. Key responsibilities include:

• Purchase Order Creation: Generating accurate and timely purchase orders for all necessary supplies, with a particular focus on perfume and decants components.
• Inventory Adjustment: Meticulously adjusting inventory records for perfume and decants bottles, ensuring accuracy between physical stock and system records. This includes managing breakage, returns, and inter-branch transfers.
• Accounts and Balance Checking: Assisting with basic accounts reconciliation, verifying invoices against payments, and cross-referencing financial records to ensure accuracy of balances.
• Inflow Inventory Management: Overseeing and managing the incoming flow of inventory, including receiving shipments, verifying contents against purchase orders, and arranging for proper storage.
• Maintaining organized digital and physical records of all transactions and inventory movements.
• Communicating effectively with suppliers, internal teams, and management regarding stock levels and order statuses.
• Performing other administrative duties as assigned to support overall office efficiency.
