Responsibilities & Context
Maintain and regularly update records of all lands, buildings, properties, leases and other estate assets of the organization.
Verify land and property documents, including Deed, Bia-Deed, Khatian, Porcha, DCR, Mutation, Mouza Map, Tax Receipt, Survey Records and other relevant documents.
Handle and follow up on land registration, mutation, kharij, land development tax, title transfer, survey and boundary demarcation.
Maintain safe custody of original land and property documents and ensure proper physical and digital documentation.
Liaise with AC Land Office, Tahsil Office, Sub-Registrar Office, Settlement Office, DC/ADC Revenue Office, Survey Office, local administration and other government authorities regarding estate matters.
Conduct regular site visits and inspections to monitor land, buildings, boundaries, unauthorized occupation, encroachment and overall property condition.
Coordinate land measurement, surveying, boundary marking and preparation/verification of site plans and maps.
Monitor and protect the organization’s properties from encroachment, illegal occupation, unauthorized construction or misuse.
Coordinate with the Legal Department/Lawyers regarding land disputes, ownership issues, notices, court cases and other legal matters.
Manage lease, tenancy and rental-related matters, including agreements, renewals, rent collection follow-up and compliance with agreed terms.
Coordinate maintenance, repair, renovation and development works of buildings and other estate facilities in consultation with the concerned departments.
Monitor contractors, vendors and service providers engaged for estate maintenance and ensure that assigned work is completed properly and timely.
Prepare periodic reports on land status, property condition, documentation, disputes, encroachment, maintenance and development activities for management.
Maintain an updated Estate Register/Property Register containing details of land area, location, ownership, documents, valuation, use and current status.
Assist management in assessing the proper and productive utilization of vacant land, buildings and other properties.
Ensure timely payment and documentation of land development tax, municipal/property tax, utility charges and other estate-related statutory payments.
Maintain effective communication and professional relationships with landowners, tenants, local representatives, government officials and other stakeholders.
Immediately report any land-related dispute, encroachment, unauthorized activity, damage or legal risk to management.
Prepare official letters, applications, reports, statements and correspondence related to land and property matters.
Perform any other estate, property and land-related duties assigned by the Management from time to time
