  • Should have experience as APS to Chairman/MD in any group of companies. Soft in behavior, Honest, punctual, sincere, smart and able to work with minimum supervision.
  • Organizational skills, assertiveness, interpersonal & communicating skills, multitasking skills.
  • The applicants should be expert in MS office.

Responsibilities & Context

  • Maintain appointment calendars – arrange, coordinate and prioritize complex scheduling and logistics.
  • Take the notes by shorthand, Draft correspondence, manage agendas and prepare materials for meetings. Screening phone calls, email correspondence, deal with incoming email, faxes, drafting and dictation, producing documents, briefing papers, reports & presentation.
  • Maintaining all appointments and meeting schedules of the Chairman & MD updating him regularly.
  • Contact with all stakeholders/communications on behalf of Chairman & MD through email, phone call, and other social media.
  • Screening and taking note from all telephone/mobile calls of the Chairman & MD conveying information.
  • Concocting and publicizing different business letters to different overseas and local concerns as per directions of Chairman & MD.
  • Preparing meeting minutes and other secretarial notes on different issues concerned with the Chairman & MD for the Group of companies.
  • Reminding the manager/executive of important tasks and deadlines.
  • Accompanying Chairman & MD in the time of visiting different establishments and taking notes.
  • Notifying Chairman & MD on upcoming events and formulating necessary arrangements.
  • Maintaining confidential Papers, files, and agreements.
  • Communicate with concerned Govt. and non-Govt. organizations for any documentation purpose.
  • Maintaining and updating a database for all communication of Chairman & MD.
  • Arranging protocol service, visa, air ticket booking, hotel reservation-related activities of Chairman & MD according to pre-schedule.
  • Any other secretarial tasks are relevant to this role given by Chairman & MD.
