Responsibilities & Context
Location: Head Office, Dhaka
Job Nature: Full-time (Contractual, renewable based on satisfactory performance and availability of funds)

Job Statement: This position will be responsible for maintaining HRIS software, supporting recruitment and onboarding processes, maintaining employee records, ensuring compliance with organizational policies, and providing comprehensive administrative and logistical support to ensure smooth office operations.
Detail Job Responsibilities and Tasks
- Develop a clear understanding of organizational HR and other relevant policies.
- Oversee the implementation and ongoing management of HRIS software. Ensure accurate and timely entry of employee data, system updates, and troubleshooting. Generate HR analytics and reports as required.
- Coordinate the recruitment process, including posting job vacancies, communicating with candidates, conducting interviews, and maintaining records. Facilitate onboarding by ensuring all required documentation, induction sessions, and resources are in place.
- Assist in the onboarding process of new employees, including the accumulation of induction materials, coordinating orientation sessions, and ensuring necessary documentation is completed.
- Assist in maintaining accurate and up-to-date employee records, including personnel files, leave records, attendance, and other relevant information. Assist to ensure that all staff has a personal file within a week of joining, collect the required documents from employees as per the standard checklist, update the HR Database from time to time, and take necessary steps for opening the Bank Account.
- Assist in ensuring compliance for different projects in alignment with donor/client procedures.
- Assist in employee capacity building by organizing HR-relevant training programs for employees engaged in HR and Admin-related activities. This includes coordinating and scheduling training sessions, preparing training materials, and ensuring smooth logistics for the training events. Additionally, provide support in conducting HR policy-related training sessions to enhance employees’ understanding and adherence to organizational HR policies and practices.
- Provide logistics support by handling incoming and outgoing correspondence, managing files and records, organizing meetings and appointments, ensuring general office support, managing office supplies, coordinating travel arrangements, and making sure all floors are being cleaned by support staff, handling incoming calls and inquiries.
- Conduct regular inspections and safety audits at project sites to identify hazards, unsafe conditions, or non-compliance.
- Review and verify submitted timesheets, assist in making necessary corrections ensuring accuracy and adherence to organization policies. Track timesheet submissions, and generate reports.
- Adhere to organizational policies and project standards.
- Ensure safety and well-being of team members and participants.
- Promote and endorse safeguarding policy among staff.
- Follow reporting procedures for safeguarding related incidents and encourage others to do so
- Perform any other duties and responsibilities as assigned by the Management/Supervisor
