Responsibilities & Context

Project/ Support function management & quality field implementation-50%

  • Implement field activities as per project implementation/annual plan;
  • Identify the entry points & supports for effective implementation to ensure expected achievement of overall results;
  • Ensure the logistics in coordination with local procurement committee as well as the quality of trainings/workshops/meetings/project- related events;
  • Develop concept notes for various events;
  • Select beneficiary/project participant following the criteria mentioned in orphan sponsorship policy;
  • Provide technical support for collecting data of post-sponsored children and compile those data for sharing;
  • Ensure all requirements set by the program management for finalizing the agreement between the families of the selected orphan children and IR;
  • Ensure the accuracy of bank account numbers of the newly selected orphan children and report to IRCO;
  • Visit families of the sponsored childrenat least once in a year for collecting their wellbeing information as well as for observing impact of the project activities;
  • Ensure quality APRs within deadline, complying with the guidelines of Alyateem system;
  • Conduct Self Help Group (SHG) assessment at least once in a year;
  • Monitor SHG savings, recovery and Qard- al-Hasana disbursement;
  • Ensure individual IGA planning for the families of sponsored children;
  • Send continuation & termination requests within timeline on monthly basis;
  • Ensure the regular update of sponsorship information on Alyateem system;
  • Ensure the monitoring & follow-up of performance of all Child Clubs;
  • Send guardian-changing request showing proper justification & rationale;
  • Ensure assessment of sponsored children in every three years and preserve necessary information at respective file following IRW guidelines & scoring format
  • Arrange like skill training for the sponsored children/families;
  • Arrange skill development training for Income Generation activities;
  • Conduct leadership, group management/dynamics and financial management training for SHG leaders;

Monitoring & Evaluation, and Knowledge Management-15%

  • Ensure day-to-day observation, monitoring and follow-up of all field activities mentioned in the annual action plan and directed by the program management;
  • Conduct regular team meetings and share knowledge & findings for effective program implementation;
  • Assist the program management and MEAL team to conduct research, study, data collection and impact assessment as per (MEAL) framework;
  • Take initiatives to keep the CRM (Complaint Response Mechanism) functional as well as circulate relevant Govt. hotline services (i.e. 999, 333, 109), and monitor those regularly;
  • Conduct program risks assessment and share the mitigation strategy on a regular basis;
  • Manage various (external & internal) audits and queries from different agencies as per the organizational requirement
  • Advocacy, Networking and Communication-10%
  • Represent IR to Govt. counterparts at field level and play role in trust-building with key Govt. agencies as per the direction of program management;
  • Build networks and collaborate with local civil society movements for local level advocacy initiatives in coordination with program management as well as External Relations and Communication department

Reporting and Documentation-15%

  • Take lead to produce quality program/project reports as per the requirements of donors & IR;
  • Prepare monthly/ quarterly/any other reports as required by line management;
  • Collect significant case stories and document learnings;
  • Check photos, drawings, greeting cards, etc. and translate those, if needed;
  • Upload APRs (Annual Progress Reports) on Alyateem system;
  • Maintain proper process documentation including files of sponsored children, event reports, visit reports, education reports, etc.

Financial Management-05%

  • Manage project finance & budget (i.e. Bill, vouchers, PR, money requisition, cash advance, etc.) following organizational tools & system;
  • Maintain oversight of grant disbursement as well as other contractual aspects of the program, and provide required support to ensure financial reports as per the requirement of program management

Others-5%

  • Participate & involve with seasonal programs (Ramadan, Qurbani, Winterization, etc.) activities.
  • Ensure that local purchases and expenditures are done as per Islamic Relief Bangladesh policy.
  • Maintain the stock book, inventory, and other essential registers properly and timely in an effective manner.
  • Support in the procurement of materials like requisition, follow-up, etc.
  • Take initiatives to ensure the security of project staff and participants during the intervention.
  • Willing and able to travel frequently for extended periods and to remote areas of the projects.
  • Ensure the safety of team members from any harm, abuse, neglect, harassment, exploitation, Fraud, Bribery & Money Laundering to achieve the program’s goals of safeguarding implementation and as well as Act as a key source of support, guidance, and expertise on the safeguarding of harm, abuse, neglect, harassment, and exploitation, Fraud, Bribery & Money Laundering for establishing a safe working environment
  • Being a member of Islamic Relief as a child-friendly organization, it is the core responsibility and obligation of each staff member to understand and obey the IR Child Protection & PSEA Policy and respond accordingly as and when required.
  • Perform any other duties assigned by the supervisor.
