Responsibilities & Context

The Cost Controller is responsible for monitoring, controlling, and managing the costs associated with the hotel’s food and beverage and other operations. This role involves maintaining accurate records, analyzing financial data, and implementing cost-saving strategies while ensuring that the highest quality standards are maintained in all F&B outlets.

 

CORE WORK ACTIVITIES

  • Maintain a detailed inventory of all food and beverage items in stock.
  • Regularly conduct physical inventories and reconcile them with system records.
  • Ensure adequate stock levels while minimizing wastage.
  • Monitor and analyze the cost of food and beverage products.
  • Identify cost variances and investigate discrepancies.
  • Recommend and implement cost-saving measures without compromising quality.
  • Negotiate with suppliers to obtain the best prices and quality for products.
  • Ensure compliance with vendor contracts and agreements.
  • Evaluate supplier performance and recommend changes when necessary.
  • Oversee the receiving process to ensure the accuracy and quality of products received.
  • Review purchase requisitions and approve orders in accordance with established guidelines.
  • Assist in the development of the annual food and beverage budget.
  • Provide financial data and cost projections to support budgeting and forecasting processes.
  • Prepare regular reports on F&B costs, consumption, and variances.
  • Present findings and recommendations to management.
  • Collaborate with chefs and F&B managers to analyze menu item profitability.
  • Suggest menu changes or pricing adjustments based on cost analysis.
  • Ensure compliance with internal controls, accounting standards, and company policies.
  • Maintain accurate and organized records of financial transactions related to food and beverage.
  • Train and educate F&B staff on cost control procedures.
  • Implement waste reduction strategies to minimize food and beverage waste, ensuring efficient use of resources.
  • Conduct regular audits of food and beverage costs, processes, and documentation to maintain accuracy and integrity in cost control measures.
  • Develop and update standard operating procedures related to cost control, inventory management, and procurement.
  • Collaborate with the finance department to provide data for financial forecasting and track the performance of the F&B department against budgeted goals.
  • Stay informed about and ensure compliance with relevant food safety regulations and licensing requirements.
  • Analyze the cost of sales for food and beverages, identifying trends and variances.
  • Implement strategies to optimize the cost of sales, including portion control and efficient use of ingredients.
  • Monitor pricing effectiveness and adjust as needed to maximize profitability.
  • Foster strong and collaborative relationships with suppliers and negotiate favorable terms and conditions.
  • Evaluate supplier performance and ensure timely deliveries and product quality.
  • Ensure that food safety and hygiene standards are met, including HACCP (Hazard Analysis and Critical Control Points) guidelines.
  • Conduct regular audits to verify compliance with food safety regulations.
  • Analyze beverage inventory and suggest strategies to minimize losses and waste.
  • Training and guidance to F&B staff on cost control best practices and the importance of managing costs effectively.
  • Assist with the financial closure process at the end of each month and fiscal year, providing accurate data for financial reporting.
  • Stay updated on the latest software and technology solutions for cost control, inventory management, and procurement to improve efficiency.
  • Prepare detailed financial reports for management, highlighting key cost control metrics, and presenting recommendations for improvement.
