About ISEC Project:

  • With the support of Global Affairs Canada (GAC) and in collaboration with ILO and UNHCR, BRAC is implementing a new skills development and livelihoods project called “Improving Skills and Economic Opportunities in Cox’s Bazar (ISEC).” The aim of the project is the economic empowerment of the host community and the Rohingya refugees in Cox’s Bazar district of Bangladesh through gender-sensitive, market-relevant skill development. Component #2 of the ISEC project focuses on bolstering the economic empowerment and participation of various groups- especially women, people with disabilities, adolescents, and youths – within the host community of Cox’s Bazar. A key objective of the project is to improve the employability and economic resilience of over twenty thousand individuals from the host community in Cox’s Bazar.

JOB PURPOSE

  • This position will be responsible for ensuring administrative support to the ISEC Project. This role will work closely with the Project Lead to organize meetings, events and daily schedules, meeting notes. This position will also support the Project Lead by tracking the project work plan and updates to fulfil the project’s objective.

KEY RESPONSIBILITIES

  • Conduct background research to identify priority agenda items for meetings by gathering relevant information and analyzing project needs.
  • Support the Project Lead by tracking the status of the project work plan and receiving updates from the operations and gender teams through regular check-ins and reporting.
  • Communicate various deadlines and follow different trackers by maintaining organized records and sending timely reminders to stakeholders.
  • Prepare and update the monthly factsheet and standard presentations by compiling data and using consistent formatting for clear and effective communication.
  • Prepare draft meeting notes from project meetings and convert them into formal meeting minutes by summarizing discussions and documenting key decisions.
  • Ensure deadlines are met by following up with team members and colleagues responsible for action items through regular check-ins and reminders.
  • Facilitate calendar invitations for meetings, workshops, and other events by scheduling in advance and preserving recordings for certain online meetings for future reference.
  • Arrange logistical support for visits to project locations by senior officials from BRAC, donors, and partners by coordinating travel, accommodations, and on-site arrangements.
  • Develop and maintain trackers for meeting documents, media files, events, and meetings by creating and updating structured logs.
  • Maintain an organized repository of ISEC project media files on cloud-based storage for easy retrieval and access by systematically categorizing and regularly updating the files.

SAFEGUARDING RESPONSIBILITIES

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme’s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
