Job Description:
We are currently seeking a highly organized and detail-oriented individual to join our Admin team as an Executive, Admin & Procurement. The Executive, Admin & Procurement will play a pivotal role in the execution of all administration, procurement, and logistics-related activities at mPower Social Enterprises Limited. The successful candidate will be responsible for ensuring the efficient functioning of administrative operations while managing procurement processes and logistics to support our organizational goals.
Job Responsibilities:
Administration:
- Oversee day-to-day administrative operations, including office maintenance, facility management, and vendor management.
- Coordinate with various departments to ensure the smooth execution of administrative tasks and procedures.
- Manage office supplies inventory and procurement, ensuring adequate stock levels and cost-effectiveness.
- Handle travel arrangements, accommodation bookings, and transportation logistics for staff members and guests.
- Maintain records, files, and documentation related to administrative activities in compliance with organizational policies and regulations.
Procurement:
- Develop and implement procurement strategies to meet the organization’s needs for goods, services, and equipment.
- Source, evaluate, and negotiate with suppliers and vendors to obtain competitive pricing and favorable terms.
- Review purchase requisitions, create purchase orders, and track orders to ensure timely delivery and fulfillment.
- Monitor procurement budgets, expenditures, and vendor performance to optimize costs and maintain quality standards.
- Maintain supplier relationships and assess supplier performance to drive continuous improvement and efficiency.
Logistics:
- Coordinate logistics for events, meetings, workshops, and other organizational activities, including venue selection, setup, and catering.
- Manage inventory and storage of equipment, materials, and supplies, implementing efficient storage solutions and inventory control measures.
- Coordinate transportation and shipping arrangements for goods and materials, ensuring timely delivery and cost-effective logistics solutions.
- Oversee asset management, including asset tracking, maintenance, and disposal processes, in accordance with organizational policies and procedures.
