Responsibilities & Context

  • Work Station: Corporate HQ (Green Road, Dhaka) Workdays: 6, weekly holiday: Friday Operational Department: MD’s Secretariat Must have proven experience as Personal Assistant / Secretary in a managed organization Well proficient in English (Oral & Written), Computer Must have the adaptability attitude towards company culture.
  • Manage Managing Director’s electronic diary, assessing the priority of appointments and reallocation as necessary.
  • Manage Managing Director’s travel arrangements (including visas/accommodation).
  • Process Managing Director’s correspondence, ensuring that incoming correspondence is handled by the Managing Director/or on behalf of the Director, or other staff as appropriate.
  • Maintain Managing Director’s office systems, including data management and filing. Maintain records of the Managing Director’s contacts.
  • Screen calls, inquiries, and requests, and deal with them when appropriate. Assist the Managing Director in researching and following up with action on matters that fall within the Managing Director’s responsibility – chasing responses, and triggering follow-up action. Produce documents, briefing papers, reports, and presentations for the Managing Director.
  • Organize meetings and ensure that the Managing Director is well prepared for those meetings, preparing agendas, pre-meeting briefings, and meeting papers.
  • Manage arrangements for meetings, including Sales/distribution of agenda and papers.
  • Assist/support the Managing Director, General Manager, Head of Sales, and Head of Finance in arranging funding partners and other events. Meet and greet visitors at all levels of seniority.
  • Supervise all Trust incoming/outgoing mail—any other duties as may reasonably be required by the Managing Director.
