Responsibilities & Context
Supervise and support the purchase & procurement operations of the company and plan the most efficient administrative procedures related to purchase operations for calcium carbonates, base materials, pigments, and additives, as well as all activities related to vendors, including the identification of new vendors, both local and foreign, managing relationships with the existing ones, bills clearance, audits, vendor ratings, etc. The goal is to ensure all support activities are carried out efficiently & effectively in order to provide an uninterrupted supply of products to the units.
- Responsible for managing purchases for calcium carbonates, base materials, pigments, and additives, check the requisition and purchase records in the system before placing an order with the vendor.
- Conduct sourcing activities as per the requirements generated by internal departments and make RFQ/ RFI to send to the vendors.
- Collect and prepare accurate calcium carbonates, base materials, pigments, and additives forecasts and corresponding monthly budgets.
- Identifying new vendors locally or internationally to have the best possible option for purchasing & working with the SCM Head in finalizing the appropriate vendors with the best rates, qualities, and services.
- Collect quotations, price lists, and PIs from vendors for required products and compare them with all possible alternatives in the market in the same price category before finalizing.
- Prepare a clear and comprehensive comparative statement to evaluate vendor quotations as per quantity and technical requirements from users and review supply arrangements that will deliver value for money.
- Negotiate procurement terms and conditions with the vendors before placing orders and issuing Purchase Orders/ Indents.
- Follow up with vendors till delivery of products. Check incoming products and take corrective actions if any discrepancies are found.
- Create Time & Action plan (TNA) for tracking work status and follow up regularly.
- Work with Inventory team for making, implementing & monitoring effective procurement/sourcing schedules & stabilizing the quantity limits for effective inventory control (minimum reorder quantity, etc.).
- Vendor performance evaluation: classification of vendors on the basis of criteria like product category, cost, quality, timely delivery, etc. Create an effective framework for accurate PMS.
