Job Context:

Promixco Group is looking for a seasoned and dynamic General Manager – Administration & Human Resources to oversee both the administrative and HR functions of our organization. This pivotal role will ensure that our corporate office operates smoothly while also leading HR initiatives to attract, retain, and develop a high-performing and diverse workforce. The GM will be a strategic partner, driving efficiency, compliance, and a positive work environment in alignment with the company’s goals and values.

Job Responsibilities:

Administration:

• Oversee the effective day-to-day functioning of the corporate office, including facility maintenance, office supplies procurement, and equipment management.

• Lead and manage the administrative support team, including receptionists, administrative assistants, and office clerks. Provide guidance, training, and performance evaluations.

• Coordinate executive calendars, schedule meetings, and arrange conferences, ensuring timely communication and coordination among internal and external stakeholders.

• Manage travel arrangements for executives and employees, including flights, accommodations, transportation, and itineraries.

• Serve as a central point of contact for internal and external communications. Handle correspondence, emails, and phone calls with professionalism and efficiency.

• Maintain accurate records and files, both physical and digital, ensuring confidentiality and security of sensitive information.

• Organize corporate events, meetings, workshops, and conferences, managing logistics, catering, and other event-related details.

• Liaise with vendors and service providers, negotiate contracts, and oversee the delivery of services.

• Assist in budget preparation and monitor office-related expenses. Identify cost-saving opportunities and ensure adherence to budgetary guidelines.

• Implement and enforce health and safety protocols within the office environment. Conduct regular safety checks and address potential hazards.

• Ensure compliance with company policies, procedures, and guidelines. Propose improvements to enhance administrative efficiency.

• Address and resolve administrative issues, conflicts, and challenges that may arise within the corporate office.

Human Resources:

• Develop, implement, and communicate HR strategies, initiatives, and policies that support the overall business objectives and foster a positive work culture.

• Manage the end-to-end recruitment process, including job postings, candidate sourcing, interviewing, and selection. Collaborate with hiring managers to identify staffing needs and ensure timely and effective recruitment.

• Act as a point of contact for employee inquiries, concerns, and conflicts. Address employee relations issues and provide guidance to ensure a harmonious and productive work environment.

• Lead the performance management process, including goal setting, performance reviews, feedback sessions, and development planning. Assist managers in effectively managing employee performance.

• Identify training needs, design training programs, and coordinate professional development opportunities to enhance employee skills and competencies.

• Administer compensation and benefits programs, ensuring competitiveness and compliance with labor laws. Manage payroll processes and maintain accurate records.

• Develop and execute initiatives to promote employee engagement, motivation, and satisfaction. Organize employee recognition programs and events.

• Ensure consistent application of HR policies, procedures, and practices. Stay informed about labor laws and regulations and ensure compliance.

• Mediate and resolve employee conflicts and grievances in a fair and timely manner. Provide guidance on conflict resolution techniques to managers and employees.

• Promote diversity and inclusion initiatives to create a diverse workforce and an inclusive work environment.

• Collect and analyze HR data to generate reports and insights on key HR metrics. Use data-driven insights to improve HR strategies and practices.

• Oversee the employee separation process, including exit interviews, documentation, and knowledge transfer.
