Responsibilities & Context

Context:

We are looking for a Head of HR, Admin & Compliance for our garment factory. This position will be responsible for overseeing all human resources, administrative, and compliance functions within the organization. This role is critical in ensuring that the company adheres to legal standards and in-house policies while fostering a positive work environment.

Job Responsibilities:

  • Develop and implement recruitment strategies to attract top talent.
  • Oversee the full recruitment process, including job postings, screening, interviewing, and selection.
  • Manage employee onboarding, including orientation programs and initial training sessions.
  • Develop and implement a performance management system, including performance appraisals and feedback mechanisms.
  • Set and monitor KPIs for employees and departments.
  • Provide coaching and support to managers and employees to improve performance.
  • Identify training needs across the organization.
  • Develop and deliver training programs to enhance employee skills and competencies.
  • Develop and implement employee engagement initiatives to foster a positive work environment.
  • Conduct employee satisfaction surveys and develop action plans based on feedback.
  • Organize employee events and activities to boost morale and team spirit.
  • Develop and manage compensation and benefits programs.
  • Conduct salary benchmarking and ensure competitive pay structures.
  • Manage employee relations issues, including conflict resolution and disciplinary actions.
  • Develop and implement policies and procedures to address employee grievances.
  • Foster a positive relationship between management and employees.
  • Ensure compliance with all labor laws and regulations.Maintain accurate and up-to-date employee records.
  • Prepare and submit required reports to regulatory agencies.
  • Oversee the management and maintenance of the HR Information System (HRIS).
  • Ensure data accuracy and integrity in the HRIS. Generate HR reports and analytics to support decision-making.
  • Conduct organizational assessments to identify areas for improvement.
  • Develop and implement change management strategies. Support organizational restructuring and workforce planning initiatives.
  • Develop and implement succession planning programs to ensure leadership continuity.
  • Identify high-potential employees and create development plans for their growth.
  • Monitor and review succession plans regularly to align with organizational needs.
  • Develop, enforce, and regularly update HR & Compliance policies and procedures to ensure they meet current legal standards and organizational goals.
  • Ensure compliance with all relevant local, national, and international labor laws and standards.
  • Stay updated with changes in labor laws and regulations and implement necessary changes to company policies.
  • Implement and oversee compliance with occupational health and safety regulations.
  • Ensure compliance with environmental regulations, including chemical handling, waste management, and pollution control.
  • Lead and prepare for various compliance audits, including Better Work, BSCI, Sedex, C-TPAT, SCAN, WRAP, Higg FEM, ISO 90001 & 14001, and ACCORD/RSC audits.
  • Identify non-compliance issues, prepare Corrective Action Plans (CAP), and ensure timely resolution.
  • Establish and coordinate various compliance-related committees, such as the safety committee, compliance committee, and worker welfare committee.Ensure these committees function effectively and meet regularly.
  • Maintain accurate records of all compliance-related activities, audits, and inspections.
  • Prepare and submit compliance reports to relevant authorities and stakeholders.
  • Maintain cordial relationships with labor departments, ministries, BGMEA, BKMEA, police stations, and other relevant authorities.
  • Ensure timely communication and cooperation with these entities during audits and inspections.
  • Oversee daily administrative operations and ensure the smooth functioning of the office.
  • Manage office supplies, equipment, and facilities to ensure they meet the needs of the employees.
  • Coordinate with vendors and service providers for office maintenance and services.
  • Ensure the cleanliness, safety, and security of the office and factory premises.
  • Oversee maintenance and repair work, including building maintenance, electrical and plumbing repairs, and other facility-related issues.
  • Coordinate with external contractors and service providers for facility management.
  • Handle travel-related issues and emergencies. Plan and organize company events, meetings, and conferences.
  • Ensure proper documentation and filing of important documents, contracts, and agreements.
  • Manage the archiving and disposal of old records in compliance with company policies.
  • Ensure timely and accurate communication within the organization and with external parties.
  • Draft and proofread documents, reports, and presentations.
  • Coordinate with security personnel and ensure compliance with security protocols.
  • Manage company transportation, including vehicle maintenance, scheduling, and driver management. Ensure compliance with transport regulations and company policies.
