Requirements

Education

  • Masters, Master of Business Administration (MBA)

MBA with a major in Human Resource Management or Master Degree in Psychology/Management or any other relevant subject from a reputed university.

(Educational qualification can be relaxed for exceptional candidates and candidates with relevant experience)

Experience

  • At least 3 years

Technical Skills

Responsibilities & Context

CONTEXT: Water & Life Bangladesh (W&L Bangladesh) is a non-profit organization established by better with water, a French NGO, is active in Bangladesh since 2010 to improve the living condition of Urban Slum dwellers by implementing water network, firefighting, hygiene promotion, sanitation and solid waste management activities.

W&L Bangladesh works in close association with the social enterprise Shobar Jonno Pani Ltd. (SJP) also established by better with water, which is specialized in safe water supply for lower income community who do not have access to water, aiming at creating quality-controlled piped and metered water supply networks, which are financially viable and adapted to the needs.

These better with water programs engaged in partnerships with the local communities, authorities, water operators and other development stakeholders through two branches, one in Dhaka and the other one in Chattogram.

TYPE: Permanent

LOCATION: Based in Head Office, Gulshan 2, Dhaka.

REPORTING TO: HR Manager

COORDINATION WITH: Fin-Admin Teams and HO.

Purpose:

  • Under the direct supervision of the HR Manager, the HR Officer will focus on supporting HR operations through the effective use of HR software and the lead on non-mangerial position recruitment. The role will involve ensuring smooth HR processes, maintaining accurate employee records, and providing data-driven insights to support organizational goals.

Job Responsibilities:

  • Under the direct supervision of the HR Manager the HR Officer will carry out the following tasks;

1. Coordinate the Recruitment and Selection Process (for non-managerial position only):

  • Assist supervisors with staff recruitment and job descriptions.
  • Prepare job advertisements and manage vacancy notices.
  • Organize and schedule interviews and technical tests, including preparing participant lists.
  • Participate in interviews and conduct reference checks.
  • Develop and implement recruitment procedures and policies.
  • Elaborate all contract related documents.
  • Notify unsuccessful applicants and coordinate offer and contract letters for selected candidates.
  • Support the onboarding process until the probation appraisal.

2. Employee Data Management, Reporting, and HR Software:

  • Maintain the HR Master File and employee contact register, sharing updates as needed.
  • Update the organization’s organigram.
  • Ensure HR information systems and software are accurately maintained and regularly updated.
  • Utilize HR software to generate reports and provide relevant data to assist the HR Manager.
  • Ensure regular audit in HR software.

3. Attendance and Leave Management (Using HR Software):

  • Utilize HR software to monitor daily attendance and address staff absenteeism.
  • Investigate and provide recommendations for resolving recurring attendance challenges.
  • Manage and track scheduled absences (e.g., holidays, travel) through HR systems to ensure seamless service continuity.
  • Maintain comprehensive and accurate leave records for all branches and the Head Office within the HR database.
  • Monitor timesheet completion on a monthly basis

4. Payroll:

  • Prepare Payroll sheet for all staffs including calculation of overtime payments for drivers, support staff and field staff.
  • Prepare festival bonus sheet for all staff as needed
  • Ensure Medical insurance and group insurance is in place for all staff. Support staff accessing medical facilities by liaising with Insurance Company.
  • Ensure accurate request for payment for Provident fund, gratuity and all the benefits provided by the organization.
  • Assist administration in preparing monthly staff payment providing relevant information on increment, promotion, leave status and as for driver (s) over hours and W/E, holiday duties.

5. HR Compliance:

  • Participate and provide inputs in consultations related to HR policies and regulations
  • Ensure staff are aware of HR regulations and policies, provide regular orientation and training to staff
  • Raise any discrepancies and or unclarity in HR regulations and or processes seeking advice to address these issues.
  • Elaborate and/or update all documentation required to cope with national requirements and Labour Law.
  • Ensure updated HR policies are available for consultation in the HR software.

6. Communication and Team Bonding:

  • Support in team cohesion and maintaining good team environment.
  • Maintain good and constant communication with Dhaka and Chattogram branch office staff
  • Participate in smooth internal communication
  • Act as one of the key organizers for yearly Team Building.

7. Admin & Logistic:

  • Order and supply ID cards, professional cards as and when needed
  • Facilitate all travel arrangement of all staff members including donor’s if and when needed. This includes hotel bookings, transportation arrangement (if required).
  • Make arrangements for meetings, workshops and training courses, seminars as assigned by the HR Manager.
  • Communicate with different stakeholders and vendor independently and organize events.
