Responsibilities & Context
GIZ Bangladesh is currently seeking applications for the position of “Junior Administrative Specialist” from candidates under “Socio-economic Support to Host and Displaced Communities in Cox’s Bazar District (SHADE) Project.

A. Responsibilities
- Ensure proper administrative management according to GIZ rules and regulations.
- Ensure close communication and follow up with service providers.
- Ensure all running service provider contracts are finalized within the agreed time frame and that finalization of contracts.
The position holder is responsible for the following tasks:
B. Tasks
General Administration
- Coordinate all administrative and logistic arrangements for the project in Cox’s Bazar office (meetings, seminars, trainings, workshops etc.)
- Administer all travel arrangements for internal staff members, counterparts, consultants and incoming visitors; include managing hotel requests, transport arrangements (flights, cars, public transports, etc) in accordance with GIZ Rules and Regulations (PuR)
- Ensure that all travel claims and related documents are processed on time
- Maintain inventory records
- Vehicle management such as movement register, calculation of monthly fuel consumption, supervision of repair and maintenance
- Monitor availability of supplies and perform procurement-related activities up to the specified guideline amount.
- Handle official correspondence (e.g. receiving and disbursing government letters)
- Support the Security Focal Point in issues related to SRM (Security Risk Management)
Procurement
- Procurement of goods and services independently procure materials / and service within project’s limit according to GIZ’s rules and regulations
- prepare purchase order of goods and service contract within the project threshold
- Facilitate and coordinate with CO and HQ for procurement of materials and equipment and service contracts.
- Make timely follow-up with the suppliers e.g. invoices are submitted properly, timely, and orders are finalized within the agreed timeline.
- To assist in making yearly procurement plan with revisions as required by CO, HQ
- Properly maintaining a paper file E on-site and digitally archive in DMS for the same.
