Responsibilities & Context

Position Title : Logistics & procurement Officer Duty station/Location : Teknaf Project Office, Cox’s Bazar, Bangladesh. Reports to : Program Manager Contract duration: initially Up to 31st August 2025 possibility of contract extension. About you : To be successful in this role we expect you to be flexible and proactive in engaging with existing and potential programming in a changing operational context. Operational/Context Role : AGRAJATTRA is looking for an experience, competent and dedicated Logistics & procurement Officer for the project titled “Kalyana: Ensure Access to life-saving integrated and sustainable services to the Rohingya population & host communities in Cox’s Bazar District, Bangladesh. The Project is funded by The Bureau of Population, Refugees, and Migration (BPRM) and technically supported by Terre des hommes Foundation.
Logistics & Procurement Officer : Development of the procurement & rental related documents. Review the purchase requisition (PR) with necessary budget provision and approval. Prepare Purchase Proposal (PP), Comparative Statement (CS) and Purchase Order (PO)/WO for Procurement and take necessary approval from the authority. Ensure that the quality of procured goods is okay as per PO and then prepare MRR. Ensure Deliver Challan and Store Issue Note are used for receiving & issuing of goods. Manage and coordinate procurement as per guidelines and procedures of AGRAJATTRA and of other donor compliance. Involve in procuring goods and services through direct, quotation, or tender process and also framework agreement with vendors as required. Coordinate logistics support to ongoing operations, Checking the documentation for quality/errors and correcting them before submitting, Take care of the logistics aspects connected to external visits and organization of workshops. Prepare/Compile the inventory materials list as per project requirement. Ensure the purchase of logistics items as per procurement plan and budget with management approval. Lead the purchase process of the goods, Therapy equipment, Assistive Devices and services. Negotiate the pricing, terms and conditions in a critical manner. Manage all contracts including supply, transport and rental contracts. Make sure the deliveries are processed in an adequate and timely manner, Ensure the supply of stationery and logistics for the operations, Maintain quality throughout the logistic processes. Provide in-time logistics support to the Office/field staff/training and other events as and when required. Develop logistics along with support plans, budget requirements and deployment timelines for new operations. Develop logistical plans for current operations and logistics contingency plans. Develop and execute tools and methodologies to enable effective implementation of logistic plans. Design and develop standard operating methods to manage logistics operations efficiently. Ensure all supervised staff members are trained as well as cross-trained adequately. Identify added logistic training requirements to attain high working standards. Ensure logistics requirements take gender-specific needs into consideration. Coordinate logistics activities related to procurement, funding, substantive units and humanitarian affairs. Develop and execute logistics support policy, processes and methodologies to general benefit of all mission units. Develop reports on material and personnel movements and various operational logistics problems. Ensure the timely delivery of project inputs to intended beneficiaries and safe receipt at various stages of distribution. Ensure the proper stacking, documentation and identification of goods before any supplies dispatch in done for onward transportation to the beneficiaries/ partners. Update record of all the project materials received and dispatched including ensuring updated file of all transaction. Maintain and keep secure the warehouse goods in proper way. In coordination with logistics officer, ensure communication of material movement details to relevant parties. Day to day updates stock list of all items and keeping a log of distribution; Ensure the stock management of warehouses including inventory and ensuring update of the stock cards and all warehouse process. Prepare monthly stock reports as per AGRAJATTRA warehouse procedure. Check accuracy of the consumption report compared with current stock. Ensure safe storage of food and nutrition supplies at warehouse and ensure that transport is provided to collect surplus nutrition supplies after distribution Timely report any stock issues to the Logistics Officer/ Manager and ensure an uninterrupted supply chain to beneficiaries at the field level Ensure all stock and dispatch items/ goods/ supplies are recorded properly. Verify the stock figures on the cards and ensure that all stock items are in the warehouse and have stock cards. Ensure that services are delivered with maximum efficiency that beneficiaries are treated with respect at all times Enable a friendly collaborative working culture within the team, actively sharing information and knowledge to enable the team to ensure effective learning and sharing across the team Be aware of, understand and comply with all of AGRAJATTRA policies and procedures. Perform additional work according to the project’s need and as being assigned by the AGRAJATTRA Management or Authority.
