Responsibilities & Context

The Logistics Assistant will be supporting the Warehouse to support the Logistics officer & Pharmacy Lead to make sure all items (including Medicines, Medical & Laboratory Supplies & Logistic items) in the Warehouse are inventoried and in good location in accordance with donor Warehouse management policy and FH Bangladesh needs. He/she will be assisted to manage storage spaces for all the programs and accountable for Warehouse inventory by coordinating movement of product from procurement to delivery to facilities. He/She helps for the efficient and timely movement of food and non-food relief supplies.Assists the Warehouse officer in the completing of reception, storage, transport, and distribution support to the JRRP programs.

Principal Responsibilities

  • Receipt and Delivery of Supplies: The Warehouse Assistant is responsible for receiving all types of supplies including Medicines, Medical & Laboratory supplies & Logistic items delivered to the warehouse from Donors & suppliers. They will distribute these supplies by creating waybills according to the distribution list, ensuring accurate and timely delivery to designated locations of field.
  • Management of Medicine & Medical Supplies Stock: The Warehouse Assistant will manage the stock of Medicines, Medical & Laboratory Supplies & Logistic Items as per the FH policy & maintaining UNHCR guidelines. They will be solely responsible for delivering these items to the Field Facilities based on the request of the relevant departments through software.
  • Pharmacy & Therapeutic Committee: The warehouse Assistant will be part of FH Pharmacy & Therapeutic Committee & will actively participate in the regular activities of this committee to ensure proper management of expired & near expiry items & to ensure proper management of Medical Warehouse.
  • Cold Chain Management: The warehouse Assistant will be responsible for cold chain management of temperature sensitive items as per protocol & will give regular update about progress & any challenges regarding cold chain management to Pharmacy Lead/Warehouse Officer.
  • Conduct Asset and Inventory Checks: The Warehouse Assistant will conduct regular asset and inventory checks for all items, including medical, non-medical, and general items, at the FH Field facilities & office. This includes maintaining accurate records and updating inventory databases accordingly.
  • Storage Management: Ensure goods are stored correctly to minimize the possibility of damage or deterioration. This includes maintaining proper storage conditions and organizing the warehouse space efficiently.
  • Purchasing Support: Provide support and assistance with the purchasing of logistics and other supplies as required. This may involve liaising with suppliers, communicating with suppliers regarding the PO delivery, and ensuring timely delivery of goods.
  • Administrative Assistance: Assist with administrative work to ensure supplies and stocks/inventory are correctly documented using standard inventory formats and registers. This includes data entry, record-keeping, and generating reports as necessary.
  • Communication and Coordination:  Maintain close and coordinated communication with field admin officers, Fleet department, and respective program personnel. This ensures smooth coordination of logistics activities and timely response to any issues or concerns.
  • Quality Checks: Regularly check the condition of Medicines, Medical Supplies, and Laboratory Supplies logistics/supplies owned by the Warehouse. This involves inspecting for damage, and expiry dates, and ensuring compliance with quality standards.
  • Inventory Tracking:  Follow-up on the use of program logistics demand and supplies, including tracking stock levels, conducting stocktaking, and updating inventory databases. This ensures accurate and up-to-date information on stock availability.
  • Labeling Verification: Verify the labeling of all program supplies/logistics/goods in conformity with the inventory database. This helps to ensure accurate identification and tracking of items.
  • Monthly Reporting: Verify and update the monthly inventory/stock list to be included in the monthly management/quarter report. This involves compiling data, conducting analysis, and preparing reports on stock levels and inventory management activities including D1 report, Expired list submission, Near Expiry List submission to the Pharmacy Lead.
  • Gate Pass and Waybill Maintenance: Ensure the proper maintenance of gate passes and waybills appropriately. This includes issuing, tracking, and documenting the movement of goods in and out of the warehouse.
  • Warehouse Maintenance:  Ensure that the warehouse area, corridors, stock rooms, and toilets are kept clean and well-maintained. This includes regular cleaning, waste disposal, and reporting any maintenance issues to the Sr. Officer-Maintenance.
  • Progress Sharing: Share progress, problems, and challenges of the group with the Warehouse officer & Pharmacy Lead. This facilitates effective problem-solving and decision-making within the team.
  • Compliance:  Follow the code of conduct and other safeguarding policies provided by JRRP-FH. This includes adhering to ethical standards, promoting a safe working environment, and reporting any violations or concerns.
  • Assist Pharmacy Lead: He/she will assist the Pharmacy Lead on any issues regarding management of Medicines, Medical supplies & laboratory Supplies, management of monthly & quarterly Inventory, Monthly Reporting, Visit preparation as per donor recommendations & guidelines, Management of Medical Warehouse as per Guidelines & SOP.
