Responsibilities & Context

(A local NGO since 2004 in Bangladesh)

Responsibilities:

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Good experience about administrative work.
  • Ensure the smooth and adequate flow of information within the organization to facilitate other project operations.
  • Manage schedules and deadlines of project completion.
  • Monitor and keeping of project materials such as civil, electrical and Computer materials in safe condition.
  • Monitor inventory of office supplies and the purchasing of new materials for project with attention to budgetary constraints.
  • Manage the maintenance and repair of Office equipments, Computer and other devices.
  • Initiate and coordinates deadline to achievement of project goal of the organization.
  • Organize and supervise other office activities (recycling, renovations, event planning etc.
  • Liaise with external stakeholders, such as vendors, suppliers, law enforcement agencies, certification license issuing authorities to ensure smooth operations.
  • Monitor cost and expenses according to budget.
  • Monitor and procures needed supplies for office, reception, kitchen, beautification of factory premises and other related issues.
  • Supervises clerical and administrative personnel by communicating job expectations, aspiring job result and disciplining employees.
  • Ensure safe, secure and well-maintained facility that meets environmental, health and security standard.
  • Recruit and train personnel and allocate responsibilities and office space in collaboration with Corporate People & Productivity team.
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency.
  • Ensure that all administrative tasks, such as data entry, filing, and correspondence, are completed accurately and efficiently.
  • Set procedures for training, coaching, counseling and career development for the staff.
  • Ensure new staff recruitments and appointment letters.
  • Monitoring staff payroll system or attendance book.
