Research Triangle Institute (RTI) has over 30 years’ experience assisting governments, communities, and the private sector. As a not-for-profit, independent research institute based in North Carolina, USA, RTI has roughly 6,000 employees with global experience implementing international development projects. RTI’s Global Health Division (GHD) within the International Development Group, works in Malaria and Neglected Tropical Diseases; Global Health Security and Public Preparedness; Heath Systems Strengthening – including Health Governance, Health Finance, Human Resources for Health, Capacity Building, and Health Policy and Advocacy; and Integrated Care – including Reproductive, Maternal, and Child Health and Family Planning. We address a range of public health problems to reduce disparities, lower disease burdens, and build locally owned sustainable health programs in lower- and middle-income countries.
Responsibilities
RTI is seeking an Operations Officer in Bangladesh. The Operations Officer is responsible for logistical and administrative support covering transport coordination, assets management, procurement coordination and management of the supply chain for the SLLHS program. This position will ensure that processes are compliant with RTI International logistical and administrative procedures and guidelines as provided for in the EAEP Field Operations Manual- June 2019 version, as well as per USAID rules and regulations, including the marketing and branding strategy, throughout the project lifecycle from set-up to closeout. Operations Officer will report to Senior Operations Manager.
Position is contingent upon award and funding.
Primary Responsibilities
- Oversee general office administration support that covers supervision for office cleanliness, staff utilities, protocol maintenance, allocation of staff working spaces, and office building repairs and maintenance.
- Coordinate logistical support for staff and consultants, both internal and external meetings, including transport, hotel accommodations, venue bookings, preparing agenda, and taking minutes.
- Support arrangement and tracking of travel logistics for staff and consultants including visas and other travel requirements.
- Transport coordination: Ensure the optimal allocation of transport means for various program needs. Such as arrangement of hired vehicles, booking of taxis as required and approved by the budget holders. Manage transport liability waiver forms submission for non RTI passengers.
- Fleet documentation: Ensure proper filing of hard copy and electronic copies, in chronological order of all the vehicle management documentation, review weekly vehicle logs/ work tickets, fuel logs every week, and Monthly vehicle utilization reports. Ensure that Vehicle Handover is done always and when required.
- Support the procurement processes as required.
- Ensure that the program’s assets are carefully monitored, tagged and tracked, using RTI’s Assets Management System (RAMS). Maintain an inventory as per USAID regulations and RTI’s policies, rules on branding, tagging. Reconcile the inventory on an annual basis.
- Office equipment maintenance, including service of photocopiers, printers, and power back-up systems.
- Monitoring of the program’s materials and supplies, including tracking of office consumables such as stationery, printer toners, and cartridges to monitor their consumption.
- Establish and communicate re-order levels for supplies such as stationery, toner and cartridges, as well as submission of monthly stock records.
- Ensure proper documentation for any damages/incidences/accidents as soon as they happen, together with submission to incidents as per RTI’s incidents reporting protocol, property survey, adverse events reporting.
- Perform other related duties as assigned by the supervisor, Senior Operations Manager.
