Requirements

Education

  • Bachelor’s degree in any discipline preferably in Business Management/Administration, Secretarial Studies, or related field preferred.

Additional Requirements

  • Age 25 to 35 years
  • Proven experience as an executive secretary, personal assistant, or similar role, preferably in a corporate environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with a professional and courteous demeanor.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), AI tools and other relevant software.
  • Discretion and integrity in handling confidential information.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to changing priorities and demands.
  • Previous experience in the textile and apparel industry is a plus.
  • This is a full-time position based at our head office with standard office hours.       Occasional overtime may be required to meet deadlines or accommodate the MD’s schedule.
  • The successful candidate will report directly to CTO (Chief Transformation Officer) and collaborate closely with other members of the executive team.

Responsibilities & Context

As an integral part of our team, you will support the Strategic Management Team in maintaining smooth operations and facilitating effective communication within the organization.

Position Overview: We are seeking a highly organized and professional “Personal Secretary” to provide comprehensive administrative support to the Managing Director reporting through the Strategic Management Team. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  • Update calendar, schedule appointments, and coordinate meetings, ensuring efficient use of time.·
  • Handle incoming calls, emails, and other correspondence, responding promptly or redirecting as necessary.·
  • Prepare and distribute memos, letters, reports, and other documents as requested by the MD.·
  • Maintain organized filing systems, both electronic and physical, to ensure easy retrieval of information.·
  • Arrange travel itineraries, including flights, accommodations, and transportation.·
  • Assist in the preparation of meeting materials, including agendas, presentations, and reports.·
  • Attend meetings as required, take minutes, and distribute to relevant stakeholders.·
  • Handle confidential information with discretion and professionalism maintaining utmost confidentiality at all times.·
  • Act as a liaison between the MD and internal/external stakeholders, fostering positive relationships and ensuring effective communication.·
  • Oversee office supplies inventory and place orders as needed.·
  • Coordinate with IT support for any technical issues or requirements.
