Responsibilities & Context
A planning engineer is responsible for overseeing the scheduling, coordination, and progress monitoring of the projects. The role of a planning engineer requires strong analytical, organizational, and communication skills. It also demands the ability to manage multiple tasks concurrently while maintaining attention to detail and ensuring adherence to project timelines and budgets
Key Responsibilities:
- 1.Project Planning and Scheduling
- Develop and maintain project schedules using scheduling software (Microsoft Project).
- Coordinate with construction managers, engineers, and stakeholders to define project scope, goals, and deliverables.
- Establish work breakdown structures (WBS) and determine critical paths for project completion.
- Review the construction plan/ schedule submitted by subcontractors
- 2.Resource Allocation and Management
- Allocate resources effectively to ensure project milestones are achieved on time and within budget.
- Monitor resource utilization and optimize resource allocation based on project needs.
- Coordinate with procurement teams and suppliers to ensure timely availability of materials and equipment.
- 3.Progress Monitoring and Reporting
- Generate regular progress reports /dashboards / PowerPoint Presentations for stakeholders.
- Prepare DPR/WPR/MPR for the project
- Track project progress against planned schedules / Annual Operating Plan (AOP).
- Identify deviations from planned schedules and propose corrective actions.
- Monitoring project budgets, costs, and expenditures throughout the project lifecycle
- 4.Design Coordination
- Coordination with HO, Consultant & Client for timely approval of design and drawings
- Coordination with site team, and subcontractor and resolving drawing-related issues in coordination with consultant and client.
- 5.Collaboration and Communication:
- Collaborate with project teams, contractors, and clients to ensure alignment on project objectives and schedules.
- Facilitate regular project meetings to review progress, discuss issues, and prepare the Minutes of the Meeting (MoM).
- Communicate effectively with stakeholders to provide updates, address concerns, and manage expectations
- Maintaining regular communication with clients, stakeholders, and project teams to provide updates and address concerns
- 6.Cost Estimation and Budgeting
- Prepare Annual Operating Plans(AOP) as per the schedule of works.
- Prepare accurate cost estimates for construction projects based on drawings, specifications, and other relevant documents.
- Analyze and evaluate quotations from contractors and subcontractors for supporting works at the site.
- Develop and manage project budgets, ensuring costs are controlled and maintained within approved limits
- Communicate effectively on cost-related matters, including presenting reports and recommendations
- 7.Measurement and Valuation:
- Measure and value work done on-site for interim and final payments.
- Prepare bills of quantities (BOQs) and schedules of quantities.
- Assess and certify payments to contractors and subcontractors based on completed work
- Organizing documents and Preparation of Invoices/ Bills for clients as per billing schedule
- 8.Dispute Resolution and Claims Management:
- Manage claims and variations, ensuring contractual compliance and fair settlement.
- Provide support for dispute resolution processes, including negotiation, mediation, and adjudication
- Liaise with clients, consultants, contractors, and other stakeholders to clarify project requirements and resolve issues.
- Administer contracts throughout the project lifecycle, including variations, claims, and dispute resolution
- 9.Construction Oversight
- Providing technical support during construction phases to ensure plans are implemented correctly and addressing any design issues that arise.
- Periodical visits to the site for providing technical assistance and suggesting wastage control measures.
- Conducting inspections and quality checks to ensure that completed projects meet design specifications and quality standards
- 10.Quality Control and Assurance:
- Ensure compliance with project specifications, quality standards, and regulatory requirements.
- Conduct inspections and quality audits to verify work meets contractual obligations and industry standards
- 11.Documentation and Administration
- Maintain project documentation, including schedules, progress reports, change orders, and correspondence.
- Ensure adherence to company policies, procedures, and safety standards.
- Assist in project close-out activities, including documentation, final inspections, and lessons learned
- Maintain accurate records, documentation, and archives related to cost management and contractual matters
- 12.Risk Assessment and Management
- Conduct risk analysis to identify potential risks and uncertainties that may impact project schedules.
- Develop risk mitigation strategies and contingency plans
- Monitor and manage changes to project scope, schedule, and costs
