Whiteshell Limited is seeking a highly ambitious and goal-oriented Senior Manager, Tender Sales to join our team. This key role involves developing and implementing tender strategies, building strong client relationships, and ensuring successful tender submissions, particularly within government and public sector procurement. Job Responsibilities:

  • Collaborate with cross-functional teams to gather, compile, and organize all required documentation for tender submissions.
  • Ensure that all tender documents, including technical specifications, pricing information, and compliance statements, are accurately formatted, consistent, and visually appealing.
  • Review all documentation for accuracy, completeness, and compliance with tender requirements and company standards.
  • Manage document version control, track changes, and ensure the most up-to-date information is included in the final submission.
  • Develop and write content for various sections of tender documents, highlighting the company’s strengths, capabilities, and value propositions.
  • Conduct thorough proofreading and editing to eliminate errors, improve clarity, and enhance the overall quality of written materials.
  • Identify and analyze tender opportunities within the market.
  • Evaluate tender documents to understand requirements, specifications, and potential challenges.
  • Coordinate the preparation of bids by gathering necessary documentation and inputs from various teams.
  • Develop competitive pricing strategies and proposals tailored to meet client expectations.
  • Ensure the timely and accurate submission of tender documents, adhering to all deadlines.
  • Work closely with sales, finance, legal, and technical teams to develop comprehensive and compliant bids.
  • Coordinate with suppliers and subcontractors to gather necessary inputs for bid preparation.
  • Manage communication and queries related to tenders, ensuring all stakeholders are informed.
  • Track and report on the status of submitted tenders, including win/loss analysis.
  • Monitor and analyze the success rate of tender submissions and identify areas for improvement.
  • Provide regular updates and detailed reports to senior management on tender activities.
  • Implement best practices and continuous improvement initiatives in the tender management process.
  • Provide training and guidance to team members on effective tender management and submission practices.
  • Develop and maintain a thorough understanding of tender requirements, specifications, and evaluation criteria.
  • Collaborate with the technical team to create comprehensive and compliant tender responses.
  • Ensure that proposals are tailored to meet client needs and effectively showcase the company’s capabilities.
  • Develop and execute sales strategies to secure tender contracts, achieve sales targets, and expand market share.
  • Work closely with the sales team, technical experts, and other relevant departments to develop winning tender submissions.
  • Ensure that all tender submissions comply with legal and regulatory requirements.
  • Maintain accurate records of tender submissions, correspondence, contracts, and other relevant documents.
  • Identify and mitigate risks associated with tender submissions, ensuring compliance with all regulations.
  • Ensure tender sales of IT products such as Interactive Flat Panels, Video Walls, Projectors, Digital Signage, Kiosks, Computers, Printers, Scanners, Sound Systems, CCTV Cameras, UPS, and Office Automation products.
  • Analyze product sourcing, pricing, and specifications, and conduct competitor analysis to keep up-to-date information for bidding.
  • Communicate with government and non-government offices, as well as online and offline sources, to gather information about ongoing or upcoming tenders.
  • Provide excellent customer service by delivering product, promotion, and pricing information, answering questions, and conducting product presentations.
  • Prepare competitive analysis for assessment, ensuring compliance with tender requirements to make informed decisions on tender participation.
  • Attend and conduct meetings or discussions with procurers, adhering to PPR (Public Procurement Rules) guidelines.
  • Develop and set daily, weekly, and monthly action plans for achieving sales targets.
  • Prepare and submit regular reports on tender activities, ensuring accurate and timely reporting.
  • Ensure timely collection of payments and achieve tender sales targets within specified markets.
  • Collect accurate feedback on client requirements and complaints.
  • Subsequently develop and execute action plans to ensure client satisfaction and thus maximize revenue.
  • Prepare reports for the department as and when needed.
  • Able to achieve tender sales targets on a monthly basis within the specified markets and responsible for collecting the payment on time.
  • Any other duties as assigned by the management from time to time.
