Responsibilities & Context
Job Purpose: Ensure scan, update and input land information in Estate Management System (EMS) software and preserve original land documents in the respective files in an organized way in the land record room.
Key Responsibilities
- Ensure scanning of purchased land documents be uploaded in the software and preserve in land record room.
- Arrange files in an order best suited for rapid retrieval and disposition.
- Ensure security, safety and well-organized of land record room. .
- Ensure sending or receiving all kind of land documents to or from field offices or others and preserve properly in land record room.
- Develop, maintain, verify and evaluate existing file in record systems.
- Ensure protection of land documents of the land record room.
- Ensure BRAC owned paintings to be upkeep and managed properly.
- Ensure Quarterly inventory management of Land related files and documents.
- Develop different MIS/ reports according to requirement Management.
- Ensure mutation of BRAC purchased land on timely manner.
- Ensure timely payment of municipal taxes, Land Development Taxes, lease/license fees to the relevant authorities and to follow up to the land users (e.g. Manager, farm manager etc.
- Take initiative by submitting all necessary papers & documents properly for including BRAC ‘s name in survey during the survey period.
- Collect original land deeds and documents (via deed, CS Khation, SA khatian, RS Khatian, DP Khation, City Jorip, Map, survey reports etc.) from respective registry/ land offices and to preserve those in Head office record room as per rules and to ensure keeping files with all document’s photocopies of land in field office properly
- Ensure layout, fly level, level (pre & post works), plot survey, topographic survey, built survey, mauza map comparing, area calculation etc. report through digital survey machine.
- Perform any other job assigned by authority.
SAFEGUARDING RESPONSIBILITIES
- Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme’s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
- Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
- Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
