Responsibilities & Context
General Office Management:
- Ensuring a clean and secure office environment.
- Ensuring availability of adequate lighting, water, telecommunication, email, fax, computers, etc.
- Process bills related to Newspapers, security, electricity, Gas, WASA, Sewer, office spaces, courier, T&T etc.
- Organize company events in coordination with concerned divisions.
- Set up and coordinate meetings and conferences.
- Ensure employees’ safety, including first aid box, maintenance of fire extinguisher etc.
Manage procurement matters (office equipment, and others):
- Collect and verify material requisition from staff/different departments.
- Collect approval from the approving authority.
- Materials received from the Purchase Department.
- Distribution or placement as per requisition.
Support in legal issue:
- Communicate to the police station (thana)/police to make GD if needed.
- Communicate to the police station (thana)/police to file any case if needed.
- Communicate and manage Advocate to run/look after official case.
- Be present in court in favour of complainant if needed.
Support system:
- Ensuring availability of adequate photocopying services/facilities.
- Ensure repair and maintenance of office equipments, fittings & fixtures, appliances etc.
- Provide logistical assistance for all staff and office equipment needed by staff.
- Makes sure that all equipments and machines are maintained.
- Arrange accommodation and entertainment arrangements for company visitors.
Office Store management:
- Collect stationery requisition from staffs/different department
- Verify requisition and check availability of items
- Entry on stock and distribution ledger
- Provide items as per approved requisition.
- Prepare requisition for stationery inventory.
- Collect approval for stationary inventory from MD.
- Purchase stationery items as per MD’s approval.
- Store purchased items and stock register update.
Transport Management:
- Quotation collection from different transport providing company for field visit/official tour.
- Verification, negotiation, and submission of work order.
- Work for payment with accounts.
Mail/Courier Management:
- Handle the dispatch of letters to other outside office and departments.
Assets Management:
- Assets locating, checking/counting, etc.
- Recommending disposal of assets
Security and Safety:
- To ensure overall security arrangement and movement of men and material within/ from the Company’s premises.
- Strict monitoring and supervision of security guards in coordination with a security agency.
- Investigate security breaches and forward report
- Ensure the safety of employees including first aid box, maintenance of fire extinguisher etc
Staff Development and Training Activities :
- Arrange training / Meetings venue.
- Preparation of invitation letters/notice for training/meeting.
- Preparation of equipment needed for all training sessions.
- Preparation of certificates of participation for all staff who have attended the training session.
Telecommunication Activities :
- Manage all telephone matters (make & receive calls)
- Maintain a record of calls and monthly telephone bills.
- Follow up on all requests for new lines and reports of malfunctions.
- Handle all matters related to the fax machine use in the Head and Side Office.
