Responsibilities & Context
- Facilities Management: Overseeing the management of office facilities including maintenance, repairs, security, and cleanliness.
- Supervision: Supervising administrative staff and delegating tasks effectively to ensure smooth operations.
- Vendor Management: Managing relationships with various vendors such as cleaning services, security firms, and office suppliers.
- Policy Development and Implementation: Developing and implementing administrative policies and procedures to ensure compliance with organizational standards and legal regulations.
- Record Keeping: Maintaining accurate records of administrative activities, including expenses, personnel records, and inventory.
- Event Planning and Coordination: Planning and coordinating company events, meetings, and conferences, including logistical arrangements and coordination with internal and external stakeholders.
- Employee Services: Providing support to employees on administrative matters such as travel arrangements, office space allocation, and procurement requests.
- Health and Safety Compliance: Ensuring compliance with health and safety regulations in the workplace, conducting risk assessments, and implementing measures to mitigate risks.
- Communication: Serving as a point of contact for internal and external communication related to administrative matters, including responding to inquiries and resolving issues.
- Training and Development: Providing training and development opportunities for administrative staff to enhance their skills and knowledge.
- Project Management: Managing administrative projects such as office relocations, renovations, or technology upgrades, ensuring timely completion within budget constraints.
- Policy Enforcement: Enforcing organizational policies related to administrative matters, such as attendance, dress code, and workplace behavior.
- Conflict Resolution: Resolving conflicts and disputes among administrative staff or between staff and other departments in a timely and professional manner.
- Continuous Improvement: Identifying areas for process improvement within the administrative function and implementing measures to increase efficiency and productivity.
