Requirements

Education

Bachelor’s degree in relevant fields (e.g., business administration or relevant filed)

Additional Requirements

  • Demonstrable experience in relevant field with an experience in INGO Administration support, DC office and NGO Affairs Bureau procedures.

Knowledge:

  • A Basic understanding of and the ability to interpret and action reflecting labour laws.
  • General understanding of working environment of Non-Profit Organizations and NGOAB related communication.

Language and Software Skills:

  • Fluent in English both in Writing and Speaking.
  • Ability to write content (both in Bangla and English) for official communications and documentation.
  • Proficiency in Windows, including MS Office (MS Word, MS EXCEL, PowerPoint, data management systems)

Skills and Abilities:

  • Ability to practice and maintain an important level of confidentiality within the organisation.
  • Ability to write content (both in Bangla and English) for official communications and documentation.
  • Ability to perform under time pressure, be flexible, work independently and manage multiple tasks.
  • Ability to work within a team with professional discretion.

Responsibilities & Context

The Team and what you’ll be working on

The Administrative Assistant will be responsible to provide administrative support to the Administration, Finance, HR and Programme team so that the overall organization’s administrative operations will run smoothly.

The employee must always maintain complete discretion and confidentiality. The selected candidate must have strong administrative and interpersonal skills with an ability to work well in a fast-paced environment. The candidate should be an efficient planner with proven time management skills; able to pay attention to detail; has a personal commitment, efficiency, flexibility with effective team liaison skills. The key responsibilities for this position will include:

Administrative and Operational Supports

  • Provide administrative support by managing invoice processing and bill settlements in a timely and accurate manner, ensuring adherence to organizational procedures.
  • Liaise with the District Commissioner’s office and NGOAB for project-related matters, ensuring timely submission of applications and justifications.
  • Prepare applications and justifications for DC office-related processes and NGOAB, ensuring all necessary documentation is completed.
  • Assist with procurement processes, including collecting quotations, preparing comparative statements, and issuing work orders, while ensuring proper documentation and compliance with organizational policies.
  • Draft agreements, Memorandum of Understanding (MOUs) and other official documents in coordination with relevant departments, ensuring compliance with organizational policies and legal requirements.
  • Oversee inventory management, including tracking requisitions for equipment, office supplies and maintaining office inventory systems.
  • Assist in managing fixed assets, including maintaining relevant documentation, databases, and tracking systems.
  • Provide support for transportation management, including fuel tracking, mileage tracking, drivers’ overtime, lunch allowances, vehicle logbook, and maintenance coordination.
  • Assist in the enlisting process of consultants and suppliers.
  • Draft and follow up on official correspondence, ensuring timely responses and written replies when necessary.
  • Provide logistical and operational support for project-related events organized by the programme team.
  • Support the implementation of operational procedures and maintenance of administrative systems.
  • Coordinate official travel, transport, and accommodation arrangements for project-related events.
