Education

  • Degree in Business Administration with major in Human Resources Management will be given preference.

Responsibilities & Context

Job Context: Execute administrative, HR and legal related tasks to support the Project HR  Manager following  MSF standards and procedures, in order to ensure legal compliance and to realize the HR capacity required to achieve project objectives.

Job Responsibilities:

  • Locally Hired staff Management:
    • Assisting Project HR Manager (HRM) in the recruitment process by posting job vacancies, scheduling interviews and other relevant activities.
    • In collaboration with L&D Specialist, assisting HRM to coordinate the on-boarding process of new hires including the orientation sessions according to the internal regulations.
    • Preparing and distributing contracts for the staffs along with the distribution of the ID cards.
    • Handling data entry into HR systems (Homere), maintaining accurate records of employee details, and generating reports for management as and when required.
    • Ensuring accurate record-keeping of employee documentation.
    • Providing support to HRM in administering payroll including the encoding of leaves, overtime, medical reimbursement etc. as applicable.
    • Providing timely support to staff in addressing their HR-related inquiries and concerns in collaboration with line manager and coordination.
    • Ensuring biometric device enrolment for all the existing and new hires.
    • Supporting HRM following up with the supervisor for timely submission of rosters, leave applications etc.
  • Volunteer Management:
    • Supporting the HRM with the recruitment of volunteers in the camp by posting job vacancies, scheduling interviews and other relevant activities.
    • Ensuring the personal information of the volunteers are properly encoded and updated in the system.
    • Timely preparation and distribution of ToR and ID cards for the volunteers.Following up with the supervisors for collecting and checking volunteer attendance sheets and prepare the payment sheets on time accordingly.
  • Miscellaneous:
    • Updating the daily worker database as and when needed and prepare the payment sheets for the daily workers in the PHCs.
    • Following up with the departments for monthly internal requests and preparing them accordingly.
    • Assisting HRM to schedule meetings with employees in the PHCs.
    • Ensuring availability of forms (Leave form, OT follow-up, Document Request Form etc.) at all facilities.
    • Other day to day operations of the HR functions and duties as assigned by the line manager.
